    Description

    We are looking for a detail-oriented and organized Dispatcher to join our team in Aurora, CO. In this Contract-to-permanent position, you will play a pivotal role in coordinating service schedules, managing billing processes, and ensuring seamless communication between teams and clients. This is a contract to hire, office-based role that requires excellent multitasking abilities and a proactive approach to problem-solving.

    Responsibilities:

    • Coordinate and schedule service work, including inspections, deficiency repairs, and time-and-material work orders.

    • Process daily billing for completed service calls and ensure all necessary information is available.

    • Create and manage work orders while maintaining an up-to-date work order tracking system.

    • Follow up on previous service calls to verify completion and address any outstanding issues.

    • Attend service meetings, provide updates on service calls, and document meeting notes.

    • Track materials used during service calls and assist in resolving accounts receivable disputes.

    • Manage monitoring processes by entering new contracts, generating and mailing invoices, and handling cancellation notices.

    • Enter and maintain service contract data, including annual renewals and monthly inspection scheduling.

    • Utilize software tools such as Service Trade, Great Plains, Excel, Teams, and Outlook to ensure operational efficiency.

    • Provide backup support to other administrative roles to maintain comprehensive customer service for internal and external clients.

     

    Requirements • High school diploma required; associate degree or higher is preferred.

     

    • Minimum of 2 years' experience in a customer service role within a detail-oriented office setting; experience in fire protection, construction, or on-call services is a plus.

    • Strong organizational skills and keen attention to detail.

    • Excellent written and verbal communication abilities.

    • Proficiency in Microsoft Word, Excel, Outlook, and PowerPoint.

    • Ability to work independently and collaboratively in a team environment, while effectively managing deadlines.

    • Positive attitude, flexibility, and self-motivation are essential.

    • Familiarity with CRM systems, financial software, and tools such as IBM AS/400 is an advantage. TalentMatch®
