Position Overview:
We are seeking a compassionate and highly organized Receptionist to join our team at a low-cost, comprehensive mental health services center. Our organization provides accessible mental health services to individuals of all ages, couples, and families, as well as training graduates and postgraduates seeking licensure in the mental health field. As the first point of contact for clients, the Receptionist plays a critical role in delivering exceptional client care, maintaining a warm and welcoming environment, and supporting daily administrative operations. The role is Monday, 6/9 and Tuesday, 6/10. The hours will be 4:30 PM to 9:00 or 9:10 PM.
Key Responsibilities:
Client Services:
+ Greet clients, visitors, and staff warmly, ensuring a professional and empathetic first impression.
+ Manage client check-in/check-out processes and assist with appointment scheduling and reminders.
+ Respond to general inquiries about services, programs, and procedures, referring complex questions to the appropriate staff member.
Administrative Support:
+ Maintain and update patient records in electronic health systems while ensuring strict confidentiality and compliance with HIPAA regulations.
+ Answer and route incoming calls professionally, providing accurate information as needed.
+ Process and collect payments, co-pays, and maintain accurate records of transactions.
+ Ensure the reception area is clean, organized, and stocked with informational materials.
Coordination & Communication:
+ Communicate with clinical providers and administrative staff to ensure seamless delivery of services.
+ Monitor appointment schedules to address cancellations, no-shows, and rescheduling needs promptly.
+ Assist with administrative tasks, such as filing, photocopying, faxing, and ordering office supplies.
Client Care and Compassion:
+ Demonstrate sensitivity and empathy towards the challenges faced by clients on their mental health journey.
+ Support clients in completing forms or paperwork that may seem overwhelming.
+ Help foster a supportive and inclusive environment that aligns with our mission of affordable and comprehensive mental health care.
Requirements
Qualifications:
+ High school diploma or equivalent; additional education or training in office administration is a plus.
+ Prior experience in a receptionist, administrative, or customer service role, preferably in a healthcare or mental health setting.
+ Strong communication and interpersonal skills with a client-first mentality.
+ Ability to handle confidential information with discretion, following HIPAA guidelines.
+ Proficient in using office equipment, phone systems, and basic computer software (e.g., Microsoft Office, scheduling software, and electronic health record (EHR) systems).
+ Bilingual skills are highly desirable but not required.
