Description
Robert Half is seeking a highly detail-oriented and proactive Administrative Assistant to support a small local business, with 2 different entities. This is a part-time, temporary role, with potential to become permanent down the line. This is a part-time role that requires a versatile individual capable of managing a wide array of administrative tasks, ensuring smooth office operations, and facilitating effective communication between entities.
Responsibilities:
• Provide comprehensive administrative support, including managing calendars, scheduling meetings, and coordinating travel arrangements.
• Handle bookkeeping functions such as accounts payable, accounts receivable, and expense reporting.
• Facilitate effective communication by preparing, reviewing, and distributing legal and business documentation.
• Organize and maintain filing systems, ensuring timely transmittal and document scanning.
• Assist with human resources tasks, including hiring processes, employee onboarding, and maintaining HR records.
• Coordinate with vendors and manage purchase orders, requisitions, and bank deposits.
• Support legal teams by preparing for court hearings, managing legal documents, and handling garnishments.
• Oversee logistics for events and meetings, including conference calls and Cisco Webex sessions.
• Utilize tools like ADP, Concur, and CRM systems to streamline administrative processes.
• Ensure compliance with company policies and maintain a well-organized reception area by handling mail, phone calls, and visitor inquiries.
Requirements • Minimum of 5 years of experience in administrative support roles.
• Proficiency in tools such as ADP, Concur, CRM systems, and Cisco Webex Meetings.
• Strong organizational and multitasking abilities with attention to detail.
• Excellent communication skills, both written and verbal.
• Familiarity with bookkeeping tasks, including accounts payable and receivable.
• Experience managing calendars, scheduling, and coordinating travel arrangements.
• Ability to handle sensitive legal documentation with confidentiality.
