Position Summary Information
Position Summary
The incumbent plans and develops the tasks necessary to process the University’s three payrolls and all related activities including compliance with tax filing and reporting. As part of the process, the incumbent will also develop and maintain relationships with internal and external constituents. The incumbent will also work with the Accounting Manager on various account reconciliations and various other tasks as assigned.

Major Responsibilities
+ Duties include timely and accurate preparation of University’s exempt, nonexempt, & student payrolls and all related payroll activities including following up on unprocessed time records **.**
+ Ensures the proper and timely salary payments by computing individual earnings, and related payroll information. Validates the payroll by generating payroll register showing each payee, their withholdings, retirement, benefits, wages due, and related information.
+ Maintains an accurate accounting of payments by making various journal entries related to payroll processing and reviews payroll output for accuracy.
+ Facilitates the delivery of paychecks to employees by preparing and distributing payroll checks for University departments; by e-mailing direct deposit paystubs; by establishing control procedures on the disbursement of payroll checks; and by monitoring the disbursement of payroll checks.
+ Prepares direct deposits to appropriate financial institutions. Transmits weekly Health Savings Account (H.S.A.) advances as well as quarterly H.S.A. deposits.
+ Responsible for processing timely and accurate payroll related tax activities, wage garnishments, unemployment insurance correspondences, employment verifications, & month end payroll deduction reports.
+ Assists Comptroller and Accounting Manager with external auditor requests, to allow for completion of the annual external audit. Also assists in annual Worker’s Compensation audit as requested.
+ Communicates with all University employees regarding changes in pay dates due to holiday schedules and/or time deadlines.
+ Processes yearly health insurance buy out checks.
+ Responsible for the redistribution of labor in the system, as required.
+ Facilitates improvements in payroll operations/functions by assisting in the development and maintenance of Ellucian Banner reports used in payroll operations.
+ Prepares and writes procedures as needed, ensuring timely updates to procedures are incorporated in the Payroll Department’s Procedure Manual.
+ Performs work in compliance with all local, state and federal wage laws.
+ Contributes to the overall success of the Office of Financial Affairs by performing all other accounting duties and responsibilities as directed.
+ Takes an active role in the development of the department’s strategic and operational plans as required by department leadership. Works closely with department supervisor to develop and implement operational goals that support departmental success.
+ Responsible for working with supervisor and other team members to achieve successful results on all established individual and departmental goals and key performance indicators.

Education & Experience Qualifications
Associate degree required. A combination of education and past relevant experience may be considered.
Minimum Skills/Abilities
+ Must have the ability to understand in-depth University-wide policies/procedures and HR legal issues including knowledge of accounting principles and payroll methods.
+ Must have extensive knowledge of computer database software, spreadsheets, and word processing (preferably Excel and Word) and the ability to understand integrated computer systems. Knowledge of Ellucian Banner system preferred.
+ Requires the ability to perform research (to include Internet research), set priorities and meet deadlines, and ability to research and provide resolution to problems.
+ Must have a very high level of organizational skills.
+ Must have ability to deal with confidential and sensitive information.
+ Must possess excellent oral and written communication skills, & the ability to work well under pressure.
+ Must have a cooperative and service-oriented attitude.
+ Must be detail-oriented and able to multi-task.
+ Must be able to work flexible hours if necessary.
