Our dedicated, expert team at AdventHealth South Overland Park provides excellent care to communities of southeastern Johnson County, with 24/7 emergency room services, orthopedic surgery, labor and delivery, advanced imaging center, physical therapy and more.
The role you’ll contribute:
Provides direction, administration, and coordination of medical office activities, excluding activities requiring professional medical judgment, to directly support physicians, nurses, etc. Provides oversight and clinical excellence in a specialty area of expertise. Conducts scheduling and supports staffing assignments including setting staffing ratios and identifying potential staffing shortages. Conducts audits to confirm the accuracy of medical records and identify any non-compliant activity.
The value you’ll bring to the team:
• Respond to calls from associates concerning illness, absences, and schedule changes in a timely manner and follow up as necessary.
• Review associates’ and agency associates’ time and attendance records to ensure accurate work codes are utilized and that associates are clocked into the proper cost centers; keep managers informed of discrepancies. Make entries and update to ensure associates’ time sheets are current and accurate.
• Utilize scheduling system to prepare monthly schedules, track absence/illness, and FMLA. Assist managers in monitoring associate absence and tardiness patterns.
• Keep accurate record of employees’ FMLA hours and maintain records pertinent to productivity measurement and TEAMwork guidelines.
• Facilitate scheduling and attendance reports as requested by managers.
• Complete payroll reports for exempt staff.
• Assist department staff with Human Resource and Payroll issues.
• Assist in position control by processing paperwork for new hires, contract associates, transfers and changes in status.
You will be responsible for:
• Assist with the unit educators to set up orientations to the units and the staffing office, for new associates of the float pool and nursing resource office.
• Respond to calls from associates concerning illness, absence, and schedule changes by making replacements as necessary, and following up with proper documentation.
• Perform computer data entry functions accurately and efficiently.
• Keep mail/information flowing to and from associates in an organized manner.
• Perform staffing functions as assigned in compliance with policy and procedures.
• Coordinate balanced, cost effective schedules for float pool, nursing office IA and CRN associates accurately and promptly.
• Manage and coordinate the operation of the Clairvia system including all input and necessary changes.
• Collaborate with the unit managers and the unit scheduling associates to complete prompt, balanced schedules that will meet unit core.
• Collaborate with Teamwork’s in the staffing/scheduling of the Teamwork’s and agency employees to the nursing units.
• Maintain an organized work flow system.
Qualifications
The expertise and experiences you’ll need to succeed:
+ High school diploma or equivalent
+ Office/business management experience
+ Microsoft Office
+ BCLS - obtained through the American Heart Assoc - Preferred
