We are seeking a detail-oriented and strategic **DOT Compliance Program Administrator** to oversee our DOT FMCSA Program with precision and adherence to our comprehensive DOT FMCSA Policy. This essential role within the Regulatory and Compliance Division ensures full compliance with federal and state vehicle and driver regulations as outlined in our internal policy. As a subject matter expert, you will lead the administration, documentation, and continuous improvement of our compliance program, supporting over 500 drivers and a fleet of more than 2,000 units.
In this role, you will spend your days engaging in:
+ Maintaining daily documentation and reporting for Driver Qualification Files using the Lee Trans database, including monitoring expired and expiring documentation
+ Conducting periodic internal assessments on accident registers, roadside inspections, and Driver Qualification Files (DQFs) to ensure compliance with DOT FMCSA regulations
+ Ensuring all drivers complete mandatory USU online training for Cargo Securement and DVIR, and tracking completion in the University Learning Station (ULS)
+ Overseeing the retention and auditing of Driver Vehicle Inspection Reports (DVIRs)
+ Issuing and maintaining vehicle permits for oversized and overweight vehicles, and ensuring the Annual DOT inspection
+ Coordinating and tracking CDL driver training, testing, and medical certifications, including scheduling road tests (CORT) and ensuring all requirements are met before authorizing driving privileges
+ Reviewing FMCSA and SMS portals for roadside inspections, crashes, and safety measurement summaries, and providing periodic data quality assessments
+ Serving as the central point of contact for all DOT FMCSA compliance matters, including supporting audits, investigations, and regulatory updates
+ Partnering with Safety & Health, Fleet Operations, Human Resources, and Risk Management to ensure integrated compliance
+ Supporting the administration of the DOT Drug and Alcohol Testing Program in collaboration with Human Resources and Regulatory Compliance, in accordance with Parts 40 and 382
+ Maintaining and updating the MCS-150 annually, including unit numbers, mileage, and driver numbers, as required by FMCSA
+ Ensuring all recordkeeping and documentation is maintained according to established retention schedules and regulatory requirements
+ Ability to present and effectively communicate regulatory requirements around DOT FMCSA
Required Qualifications:
+ Demonstrated years of experience working with DOT compliance, including direct experience with FMCSA regulations, driver qualification file management, and vehicle inspection protocols as detailed in our DOT FMCSA Policy
+ A valid Commercial Driver’s License (Class A) and the ability to drive various fleet vehicles is required
+ Proficiency in compliance databases and reporting tools such as Lee Trans, Cority, Asset Works, and ServiceNow
+ Strong knowledge of federal and state transportation regulations, including Parts 40, 382, 390, 391, 395, and 396
+ Demonstrated ability to coordinate and deliver training, manage documentation, and support regulatory audits
+ Preferred Qualifications:• Certified Director of Safety (CDS), Certified Safety Professional (CSP), or similar credential• Experience in a municipal or utility environment
