    Job Summary

    University Human Resources is seeking up to two Protected Leave Analysts. These are full-time (1.00 FTE ), 12-month, professional faculty positions.

     

    This position is a part of University Human Resources and the Controller’s Unit. The position provides support of the University’s Protected Leave programs. This position will partner with other University Human Resource and Controller’s Unit team members in the administration of Protected Leave programs. This position will work with all employee populations on leave-related matters. This position is responsible for promoting a responsive, service-oriented operation in all functional areas.

    Key Responsibilities

    30% CUSTOMER SERVICE , EMPLOYEE EDUCATION , AND TRIAGE

    + Responds to employee questions regarding protected leave programs, ensuring clarity and understanding. Serves as primary point of contact for walk-in customers with leave-related questions.

    + Provides detailed information about leave process steps and assists employees in understanding their next steps related to their leave needs.

    + Updates Protected Leave resource documents as needed to ensure accuracy and relevance.

    + Responds promptly to phone calls and email inquiries regarding protected leave, maintaining a high level of customer service.

    30% TIMESHEET COMPLETION , AUDITING , AND CONSULTATION

    + Collaborates with Central Payroll to manage timesheets and resolve pay issues efficiently.

    + Conducts regular audits, reviews, and adjustments of employee timesheets throughout the month.

    + Ensures timesheets and pay are accurate according to all applicable laws, rules, regulations, and collective bargaining provisions.

    + Investigates timesheet discrepancies and takes steps to resolve them with the appropriate parties.

    + Provides necessary information to Central Payroll, Benefits and the HR Support Services teams regarding leave adjustments; prepares appropriate data reports and analysis.

     

    15% – PAYROLL AND BENEFITS TASKS

     

    + Assists the Payroll Team throughout the month to ensure timely issuing of manual checks required under OPFML timelines.

    + Works with the Payroll team during time entry each month to ensure time and pay adjustments are accurately effectuated.

    + Assists Payroll and Benefits teams in the coordination of leave adjustments and time adjustments.

    + Assists the Benefits team and employees with issuing and explaining self-pay notices ensuring clear communication and understanding.

    25% ADDITIONAL OR OTHER DUTIES AS ASSIGNED

    + Perform other duties as assigned by the Protected Leave Officer, Payroll Manager or UHR leadership in order to contribute to the overall efficiency and effectiveness of the Office of UHR .

    What You Will Need

    + A bachelor’s degree in a related field or 5 years of current professional level experience in a complex administrative environment.

    + Three years of experience providing complex administrative work in Human Resources, Payroll, Protected Leave administration or a similar environment. Administrative work includes those duties beyond clerical/secretarial support such as interpretation of laws, rules, policies and regulations, responsibility for program or project implementation, auditing, evaluation, research and analysis of programs, projects, processes or operations.

    + Windows-based software experience at least at an intermediate level, including word processing, database, spreadsheet, email, and web browser.

    + Ability to generate and audit management reports using various databases and software.

    + Demonstrates a commitment to inclusiveness, collaboration and teamwork across organizational levels and boundaries.

    + Strong analytical skills. Ability to analyze information and apply it in a compliance context.

    + Strong communication skills to inform employees about their entitlements and responsibilities when taking leave.

    + Proficiency in HRIS and payroll systems.

    + Demonstrated ability to provide excellent customer service and handle inquiries professionally.

    + Ability to investigate and resolve discrepancies effectively.

    + Strong ability to work collaboratively with various teams within UHR and Payroll.

     

    This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a criminal history check and be determined to be position qualified as per University Standard: 05-010 et seq. Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months.

    What We Would Like You to Have

    + Preferred attributes include experience in human resources management in employee benefits.

    + Experience with payroll processes including interpreting pay/benefits as well as experience making benefits related adjustments, auditing records for inconsistencies and accuracy.

    + Experience in OFLA / FMLA protected leave administration and knowledge of Oregon Paid Family Leave.

    + User-level experience with the following software: Administrative database: SunGard Higher Education Banner ( HRIS module); Microsoft Office: Access, Workforce Time and Attendance.

    + Experience working within a ticketing system.

    + Experience with Workday.

    Working Conditions / Work Schedule

    Sits for long periods of time, often working at a computer monitor. Must be able to work productively with frequent interruptions and in cubicle environment with co- workers. Maintain appropriate attendance and office hours. Good time management and organizational skills.
