PURPOSE
The Assistant Registrar leads key functional areas within the Registrar’s Office, including scheduling, reporting, and communication. This role manages data analytics for schedule building, academic room scheduling, communication campaigns, and all Registrar related websites. Additionally, the position is committed to delivering efficient, high-quality service to students, faculty, and staff while fostering productivity, collaboration, and coordination across all office functions.
DESCRIPTION
Functional Area 1: Operations
Percent Effort: 65%
+ Oversight of end-to-end course schedule building, from data analytics to classroom scheduling. Ensure alignment with federal, state, Texas A&M System University, and office policies. Serve as the university’s key resource and contact for issues related in the context of daily course scheduling operations.
+ Serves as main point of contact for Ad Astra Suite for the university. Coordinates with academic department scheduling representatives and Deans on production of course schedules each term. Assures publication of course schedule is made available to faculty, staff and students on a timely basis. Serves as Ad Astra trainer to campus community in appropriate use of Ad Astra and use of classroom resources.
+ Serves as main point of contact for all Ad Hoc Event Scheduling that require classroom and/or computer lab resources. Communicates to UPD and SSC for unlock and HVAC needs.
+ Assists Planning, Analytics, Institutional Research, & Strategic Initiatives (PAIRS) as appropriate with reporting or data extraction for reporting class and lab room utilization and with final class schedule of all courses as required by Texas Higher Education Coordinating Board.
+ Works with campus stakeholders to assure prompt room scheduling for events assuring academic needs are not compromised. Ensures all scheduling issues are resolved.
+ Oversee campus communication and Registrar’s Office marketing campaigns by maintaining targeted initiatives to effectively engage the customer base through channels such as email, text messaging, social media, and virtual platforms.
+ Manage strategic, branded communication efforts to cultivate strong outreach initiatives and interactions and ensure timely responsiveness from team.
+ Assess strategies and best practices for enhancing communication efforts.
+ Oversees and maintains relevant sections of the Registrar websites. Produce reports as directed by AVP-University Registrar.
Functional Area 2: Administrative
Percent Effort: 20%
+ Communicates with Deans, Assistant Deans, Department Chairpersons, Faculty, Staff on scheduling processes, compliance, and training opportunities.
+ Oversees development opportunities in areas of Ad Astra scheduling and communication campaign
+ Assist in coordinating with academic departments in scheduling representatives and Deans on production of course schedules each term and ensure publication of said classroom schedule is made available to faculty, staff, and students on a timely basis.
+ Conduct presentations / classes on various processes and policies of the University Registrar to include course creation, FERPA, and general Banner training to staff. Create process documentation and instructional materials.
Functional Area 3: Supervisory Management
Percent Effort: 10%
+ Directly supervises (2) Records Specialists.
+ Provide ongoing professional development opportunities and regular feedback through the performance evaluation process.
+ Enforces federal, state, Texas A&M University and office laws and policies. Maintain strict confidentiality of student and university information, adhering to FERPA and other applicable regulations. Serve as a university resource and/or contact on issues relating to confidentiality of student education records as it relates to daily operations as a back to the Associate and AVP-University Registrar.
Functional Area 4: Other
Percent Effort: 5%
+ Assists or serves as lead for special projects such as process and/or technology implementations for course scheduling, predictive analytics, and communication.
+ Assists with commencement ceremonies and other organized gatherings. Assures appropriate resources are procured and scheduled.
+ Serves on various administrative or academic committees as directed by the AVP-University Registrar.
+ Assures project come in on time and on budget.
+ Establish standards for approving access to scheduling software and communication management applications.
+ Perform other duties as assigned.
QUALIFICATIONS
+ Bachelor’s degree.
+ Five (5) years’ experience in related field.
+ Additional education may be used as a substitute for the minimum experience requirement:
+ Masters degree and three (3) years’ experience in related field.
+ Intermediate skills in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook), DegreeWorks, and ARGOS.
+ Knowledge of FERPA and student privacy laws.
+ Strong communication skills both written and verbal to be able to communication effectively with Deans, Assistant Deans, Department Chairpersons, Faculty, Staff and Students regarding registrar policies and procedures.
+ Ability to maintain the utmost confidentiality.
+ Demonstrated ability to work in a fast-paced office, ensuring timeframes and responsibilities are met.
+ Exceptional follow-up and follow-through skills as well as ability to plan, organize and control large and small projects through to completion.
+ Ability to analytically solve simple and complex problems and to quickly learn and assimilate new systems and information.
+ Ability to manage work projects from start to finish and to work with minimum supervision, as well as to accept directions on given assignments.
PREFERRED QUALIFICATIONS
+ Master’s Degree in Higher Education Management.
+ Six (6) or more years of direct experience in a Registrar’s office that services a campus of equal or greater complexity of a 10,000-student population campus.
+ Knowledge of Banner Student Information System 8.0 or greater.
SALARY: Up to $4,750.17 Monthly ($57,002 Annual, Approximately)
