    Description

    We are looking for a detail-oriented and proactive Part Time Office Manager to join our team on a part-time, contract basis. In this role, you will be responsible for overseeing daily office operations, coordinating schedules, and supporting a dynamic team. This position is based in Tinton Falls, New Jersey, and offers an excellent opportunity to contribute to a collaborative and productive environment.

    Responsibilities:

    • Oversee daily administrative functions, including managing accounts payable/receivable, processing invoices, and handling client communications.

    • Maintain and update records for clients, team members, and subcontractors, ensuring data accuracy and completeness.

    • Organize schedules, coordinate meetings and agendas, and arrange travel logistics for project engineers.

    • Support the marketing director with special projects, including editing and proofreading materials.

    • Manage office supplies and vendor relationships to ensure operational efficiency.

    • Reconcile expense reports and ensure timely submission of financial documentation.

    • Foster a positive workplace environment by addressing team needs and assisting with human resources tasks.

    • Plan and coordinate company events and staff meetings to facilitate team collaboration.

    • Identify and implement improvements to office processes to enhance productivity.

    • Scan and archive completed project documentation for future reference.

     

    Requirements • At least two years of experience in office management or a related administrative role.

     

    • Proficiency with accounting software systems and tools such as ADP, Concur, and CRM platforms.

    • Strong organizational skills with the ability to multitask and prioritize effectively.

    • Excellent communication abilities, both written and verbal, to interact with diverse stakeholders.

    • Self-motivated problem-solver with a proactive approach to challenges.

    • Familiarity with accounts payable, accounts receivable, and basic accounting functions.

    • Positive attitude and ability to work collaboratively within a team environment.
