Description
We are seeking a detail-oriented and organized Billing Specialist to join our client in the service industry. The ideal candidate will oversee the entire billing process, ensuring accuracy, compliance, and timely invoicing for a variety of services provided to clients and customers. This role requires excellent problem-solving skills and the ability to communicate effectively with internal teams and external clients to resolve billing discrepancies and ensure customer satisfaction.
Key Responsibilities:
+ Invoicing and Billing Oversight:
+ Prepare, review, and distribute accurate invoices to clients in accordance with contract terms and service industry policies.
+ Verify billing data, such as service hours, quantities, and contractual agreements, ensuring accuracy and compliance with company standards.
+ Accounts Receivable Management:
+ Monitor and manage accounts receivable, ensuring timely follow-up on outstanding invoices.
+ Process payments and accurately apply them to client accounts.
+ Work with internal teams to develop strategies to minimize overdue accounts and improve cash flow.
+ Customer Support and Dispute Resolution:
+ Serve as the primary point of contact for billing inquiries from clients and internal teams.
+ Investigate and resolve client billing discrepancies, including issuing credits or adjustments when necessary.
+ Provide excellent customer service to maintain positive client relationships.
+ Compliance and Documentation:
+ Ensure billing processes comply with company policies, regulatory standards, and client contracts.
+ Maintain organized and accurate records of invoices, payment histories, and correspondence to support audits and reporting needs.
+ Process Improvement and Collaboration:
+ Collaborate with cross-functional teams, such as accounting, customer service, and sales, to streamline billing operations.
+ Identify inefficiencies in billing processes and suggest improvements to enhance accuracy and efficiency.
+ Reporting and Analysis:
+ Generate and present regular billing and revenue reports to management.
+ Monitor key metrics such as billing cycles, account aging, and collection rates.
Requirements
Qualifications:
+ Education: Associate degree or higher in Accounting, Finance, Business Administration, or a related field preferred. Equivalent experience may be accepted.
+ Experience: 2+ years of billing, accounts receivable, or related experience in the service industry.
+ Skills:
+ Strong proficiency in billing software and Microsoft Office Suite, particularly Excel.
+ Excellent attention to detail and accuracy in data entry and invoice processing.
+ Strong organizational and time-management abilities to meet deadlines in a fast-paced environment.
+ Effective verbal and written communication skills for interacting with clients and team members.
+ Knowledge: Familiarity with service industry billing practices and accounting principles is a plus.
Preferred Qualifications:
+ Working experience with ERP systems or CRM software is highly preferred.
+ Prior experience resolving billing disputes and overseeing collections would be beneficial.
+ Knowledge of industry-specific regulatory requirements or compliance standards is a bonus.
