    Food & Beverage Administrative Assistant

     

    Tioga Downs is searching for an Administrative Assistant for our Food & Beverage department who will be responsible for all administrative and clerical functions required by the Director of Food and Beverage, Restaurant Mangers and/or Food and Beverage Supervisors. The ideal candidate is familiar with restaurant operations, has excellent customer service skills, and enjoys creating structure and order in a fast paced, complex organization. The expected schedule for this position will be 8:00AM - 4:30PM, Monday - Friday. Occasionally, it may be necessary to work outside of these hours due to an event or completion of a project.

    ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

    + Manage department schedules, appointments, and meeting coordination.

    + Maintain and organize files, records, and documents related to operations, vendors, inventory, and staffing.

    + Assist with payroll processing, timekeeping, and scheduling systems.

    + Support recruitment and onboarding processes for F&B staff by coordinating interviews, processing forms, and organizing training materials.

    + Assist with data entry, report generation, and analysis of sales, inventory, and labor reports.

    + Prepare agendas, take meeting minutes, and follow up on action items as required.

    + Liaise with vendors, suppliers, and internal departments on behalf of F&B leadership.

    + Ensure compliance with company policies, health regulations, and safety procedures.

    + Support event planning, catering coordination, and banquet administration as needed.

    + Composes and types-up correspondence, reports, and miscellaneous paperwork, prepares outgoing mail, files, correspondence and other departmental records and reports.

    + Oversees the flow of all employee file related information and documentation to Human Resources, maintaining back up files of scanned & signed employee documents.

    + Schedules meetings for F&B Management Staff.

    + Securely maintains records of all employee PTO requests, shift change requests, FMLA leave and other leave requests, getting the assistance of HR staff and/or the Director of F&B as needed.

    + Oversees employee attendance files, inputting tardiness and absence submitted by F&B Supervisors daily; informs supervisors when employees reach the thresholds for each level of progressive discipline.

    + Assists Management in the programming and maintaining POS system, including the integration and troubleshooting of all features to ensure seamless employee and customer experiences.

    + Reviews receipts for cost accuracy for all F&B venues.

    + Enforces accounting policies within the F&B department as established by the Director of F&B

    + Submits requisitions for F&B supplies and necessary services into MMS.

    + Oversees tracking of associate exceptions and alerts Director of F&B to employees requiring coaching and/or progressive discipline due to excessive exceptions.

    + Acts as a resource regarding departmental activities and operations for the F&B department.

    + Maintains a working knowledge of Company facilities, as well as current and upcoming special events on property, in order to advise management and associates as needed.

    + All other duties as assigned.

    QUALIFICATION REQUIREMENTS:

    To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

    EDUCATION and/or EXPERIENCE:

    High School Diploma or GED required. One or two years of administrative experience required, preferably, in a hospitality or food service environment. Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); experience with scheduling and POS systems is a plus.

    SPECIAL QUALIFICATIONS:

    Strong organizational and attention to detail. Excellent communication and interpersonal skills required. Ability to handle confidential information with discretion. Capable of multitasking and managing priorities in a fast-paced environment.

    The Associate must regularly lift and/or move up to 25 pounds, frequently lift and/or move up to 25 pounds, and occasionally lift and/or move more than 50 pounds.

    The work environment characteristics described here are representative of those an Associate encounter while performing the essential functions of this job.

     

    The noise level in the work environment is usually moderate to loud. When on the project floor, the noise level increases to loud.
