The Sr. Program Coordinator in the School of Nursing and Health Studies’ (SONHS) Office of Student Services (OSS) reports to the College Recruiter and provides support for the graduate and Accelerated BSN programs. The Sr. Program Coordinator works closely with SONHS and University personnel to sustain school-wide growth and long-term operational excellence by building relationships with local constituents, a ssisting with recruitment efforts, and processing applications through all aspects of the admission process. This person coordinates the initial enrollment of deposited students, monitors course enrollment projections, manages the continued registration of current graduate students, serves as the first point of contact for all graduate student registration issues, and works collectively with the administration to support scholarship and fellowship applications. Duties also include onboarding new students, monitoring academic progress, and maintaining student records. The ideal applicant will be able to engage and assist a diverse student body and to work closely with faculty, administration, and outside agencies with minimal supervision. To this aim, he/she must possess excellent analytical, communication, organizational, interpersonal, and public speaking skills. It is also important the Sr. Program Coordinator be able to be self-directed as well as collaborative to work effectively as a member of the OSS team. Approximately 3 years of related work experience and a Bachelor’s degree in business, communication, education, health science, nursing, public health, or a related field is required.
Duties and Responsibilities:
Recruitment
+ Represents SONHS at various local recruitment activities and assists with other recruitment events as needed
+ Answers general phone inquiries about SONHS academic programs
+ Monitors general SONHS e-mail accounts and responds to inquiries in a timely fashion
+ Meets with prospective graduate students in person to communicate program information and encourage them to apply
+ Works closely with Recruiter in hosting webinar events pertaining to admissions
+ Serve as primary backup to Sr. Recruiter for NursingCAS.
Admission
+ Uses NursingCAS to monitor and process applications for the graduate and/or Accelerated BSN programs
+ Helps streamline admission processes by proposing new ideas and building in new tools to better-utilize the NursingCAS system
+ Develops and works through admission procedures for any new academic programs
+ Works with the Associate Deans and Program Directors to create a working timeline for the admission cycle
+ Creates and maintains temporary and permanent files for applicants
+ Tracks applications and communicates directly with applicants to encourage them to complete their application packages on time
+ Works with the International Admission Office to process all required international documentation for program applicants
+ Helps with petitions for transfer credits
+ Contacts Associate Deans and Program Directors to review files for interview/no interview decisions
+ Coordinates faculty availability to set up interview dates and ensure proper interview coverage
+ Sets up interviews with students
+ Gathers faculty admission recommendations and prepares recommendations for review by the Graduate Academic Standing and Admissions Committee (GASAC) and Undergraduate Academic Standing and Admissions Committee (UGASAC)
+ Updates admission decisions in CaneLink and NursingCAS during each step of the admission process
+ Generates and sends Admission Letters and Certificates of Admission
+ Follows up with new admits to encourage them to deposit by deadline
+ Updates Canelink with transfer credits and degree information for financial aid purposes
Onboarding
+ Coordinates the initial enrollment of deposited graduate and Accelerated BSN students
+ Arranges access for deposited students to pre-immersion courses
+ Supports SONHS orientation efforts by developing orientation packets and facilitating orientation activities
+ Follows up with new students prior to their first day of classes to ensure compliance with pending admission items on their Certificates of Admission
+ Uploads all required documentation for current graduate students into the Graduate School’s Document Management System to ensure SONHS compliance and timely graduation
Registration, Advising and Graduation
+ Coordinates the continued registration of all current graduate students by communicating with Associate Deans and Program Directors, OSS team members, students, and various other constituents
+ Serves as the first point of contact for all graduate student registration issues
+ Builds, updates, and monitors course enrollment projection sheets to keep accurate projection numbers that account for all currently enrolled and projected incoming students
+ Notifies Associate Deans and Program Directors of which students are not registered at the beginning of each semester and who, as a result, are not permitted to attend class
+ Oversees the follow through on leaves of absence, withdraws, and readmission requests by working closely with the Associate Deans, Program Directors, and Assistant Dean
+ Pinpoints registration roadblocks and proactively works with the rest of the SONHS team and the Registrar to correct systemic issues and refine SONHS processes so they can be avoided in the future
+ Applies and removes SONHS holds to student records as needed
+ Coordinates with on-campus units to remove or temporarily lift non-SONHS holds to facilitate the advising and registration processes whenever possible
+ Facilitates changes to existing Plans of Study as students go off track and coordinates with Assistant Dean to ensure tuition billing is correct
+ Responsible for confirming that students have successfully fulfilled all curriculum and degree requirements
+ Works closely with the Executive Director and College Recruiter, the OSS team, and outside constituents to develop and host career-related resources and events for current students
Scholarship and Fellowship Applications
+ Collaborates with the Associate Dean of the PhD Program to encourage new PhD students to apply for university-wide fellowships and other funding opportunities
+ Monitors graduate student fellowship and grant scholarship applications and provides additional information to support application packages as needed
Student Services Support
+ Proactively seeks new information and generates new solutions to unfamiliar situations
+ Stays abreast of SONHS and University opportunities, policies, and procedures to provide students with accurate information and refer to others as appropriate
+ Prepares various letters for new students, current students, and graduates as needed to support their enrollment and verify their graduation
+ Participates in and contributes to various SONHS events
+ Assists with file audits as needed
+ Performs other duties as assigned

Education and Experience:
Education: Bachelor’s Degree
Degree Preferred In: Business, Communication, Education, Health Science, Nursing, Public Health, or a Related Field
Experience: 3 Years
Minimum Qualifications: Bachelor’s degree required. Educational background in business, communication, education, health science, nursing, public health, or a related field desired. Approximately 2-3 years of work experience in higher education preferred, particularly in academic administration, admission, and/or recruitment. Any appropriate combination of education and related work experience, including experience as a student employee, will be considered.
