Description
Duties and Responsibilities:
+ Greet and direct Dean's office visitors at the front desk.
+ Work with Dean and Vice Dean on operations for ASHS.
+ Assist in the Dean's office activities.
+ Assist in managing meeting schedules and calendars.
+ Email communication as directed.
+ Assist in all purchases and orders for ASHS.
+ Complete travel reimbursements for the Vice Dean.
+ Order supplies for the school.
+ Taking of various committee minutes.
+ Assist in yearly ASHS events when needed.
+ Dean's annual report.
+ Maintain copiers and printers for ASHS.
+ Assist with the preparation of the Chair's retreat, ASHS committees, and office staff meetings.
+ Preparing Dean and Vice Dean reports as needed.
+ Supports the various needs of the OT department faculty, staff, and students.
+ Assist in managing calendars and scheduling appointments.
+ General knowledge of administrative and clerical systems and procedures, including drafting letters, memos, invoices, reports, and other documents.
+ Sends out mailings and packages, distributes mail to faculty, and retrieves packages.
+ Assist with departmental event preparation, set-up, and clean-up.
+ Assist with food ordering to include pick-up and delivery, and set up.
+ Performs other related duties as assigned by the Program Manager, Chair and Program Director.
Education and Experience:
+ Bachelor's degree preferred or work experience equivalent.
+ Up to one year of related experience preferred.
+ High-level written and verbal communication skills for performing business at the Dean's level.
+ Excellent ability to prepare PowerPoint presentations, spreadsheets, and reports for the Dean and Vice Dean.
+ High emotional intelligence to maintain a calm and steady atmosphere in the front office as greet guests, and communicate on behalf of the dean's office.
+ Ability to maintain the confidentiality of the Dean's office.
+ Excellent time management and organization skills are required to work in a high-volume office.
+ Self-motivated and proactive
+ Advanced knowledge of Google Suite and Microsoft Office.
+ Detail-oriented and organized.
+ Maintain a positive attitude and willingness to work with all team members.
+ Excellent written and verbal organizational, communication, and interpersonal skills.
+ Ability to effectively communicate with all levels of internal and external contacts.
