Responsibilities:
Reporting to a Senior Population Health Quality Leader, potentially supporting up to 2 senior leaders. The Executive Assistant III will provide specialized and complex administrative activities in support of senior Pop Health Quality leaders . Responsibilities include providing critical support through research, analysis, writing, information coordination, distributing correspondence, scribing, distributing meeting minutes and relationship management. The individual must possess and model a professional demeanor and is organized, self-motivated with strong interpersonal skills and an effective communicator.
Primary Functions & Responsibilities:
+ Coordinate the activities of the Senior Leaders, including management of complex calendars, travel arrangements, including expenses and associated logistics.
+ Create professional and quality documents using Microsoft Office suite.
+ Develop an in-depth understanding of the Senior Leaders’ priorities, needs and role within the organization to appropriately commit their time to those requesting access.
+ Independently prioritize, plan, coordinate and/or oversee logistics for meetings and conferences with individuals and entities internal and external to the company.
+ Anticipate Senior Leaders needs and proactively solve problems and/or independently handle issues as necessary.
+ Serves as a liaison to various internal and external constituencies on behalf of the Senior Leaders, including screening correspondence and telephone calls; keeping executive leadership informed of all matters requiring their attention.
+ Maintain the strictest levels of confidentiality and interact appropriately with all levels of the organization.
+ Support the facilitation of in-person and virtual meeting logistics as needed, including:o Drafting of agendas and other planning arrangements (coordination of meeting space and catering, if applicable).o Uploading and maintaining confidential meeting documents and other deliverables using Microsoft SharePoint.o Timely transcription and distribution of committee meeting minutes.
+ Prepare meeting reports and minutes, correspondence, presentations, organization charts and other such required documentations for the organization.
+ Coordinate support of organization and department wide initiatives with Associate Services Manager/department. · Continuously review operating practices and procedures and contribute to process improvements when required.
Education & Experience:
+ Bachelor’s Degree or equivalent work experience.
+ 5-10 years of related experience, with at least 3 years supporting C-level or executive-level leaders.
+ Advanced proficiency with Microsoft Office applications, including Word, Excel, PowerPoint, SharePoint, and Visio required.
+ Prior experience developing presentations for executive-level audiences.
+ Prior MS Visio experience for the purposes of documenting workflows.
+ Ability to identify problems, collect and analyze information and recommend solutions.
+ Ability to plan, organize, and handle multiple tasks independently.
