This Sr. Associate, Administrative Services position is based in Upper Gwynedd as a part of GRACS US Subsidiary function within Research Laboratories. Our mission is to serve as a trusted regulatory center of excellence and lead successful interactions with FDA regarding select US topics, primarily including import/exports, drug shortages, user fee compliance, financial disclosure and freedom of information.

    Under the guidance of the GRACS US Subsidiary Executive Director, the core responsibilities for this position include and are not limited to the following:

    + General administrative duties for one or more Executive Directors

    + Providing administrative support to the US Subsidiary team

    + Interacting with company executives and internal/external clients both on-site and remotely to maintain workflow

    + Supporting the departmental use of Team Sites, AI tools (e.g., Copilot, TalkGPTeal), Power apps and other collaboration software, as needed

    + Completing various work assignments ( _e.g.,_ refining PowerPoint presentations, creating/maintaining team tracking tools, developing team building activities… _etc._ ) with advanced analytical ability, independent judgment, creativity, problem-solving skills and limited supervision

    + Scheduling travel, including complex, multi-leg and international travel

    + Scheduling and facilitating large events for the department

    + Coordinating special projects within the division/area, as needed.

    Education:

    + Required: High School Diploma

    + Preferred: Advanced education or certifications such as (e.g. Certified Administrative Professional, Project Management Professional Certification, Professional in Human Resources Certification)

    **Required Experience and Skills** :

    + Minimum of (8) years Administrative Assistant experience

    + Minimum of (3) years Executive Administrative experience supporting senior executives (Sr. Director, Executive Director, VP or above)

    + Demonstrated AI capability, advanced computer skills (Power Apps, MS Office Suite - Outlook, Word, Excel, Power Point etc.) and operation of other peripheral devices.

    + SAP experience processing: Expense Reports; Purchase Orders and Payment Requests; Vendor Add Forms, as well as the capability to run reports within SAP

    + Experience scheduling complex travel arrangements including multi-leg domestic and international travel

    + Demonstrated experience with processing Visas/Passports.

    + Advanced secretarial/clerical abilities with a history of high performance

    + Documented experience as a strong performer in current and past positions

    + Ability to handle and prioritize a large number of simultaneous assignments

    + Experience with event planning and coordination

    + Extraordinary attention to detail

    + Demonstrated ability to be proactive and collaborative

    + Outstanding communication, writing, and people skills

    + Experience with financial and budget tasks
