The Work You Will Do:
Mail Center Clerk - District Five/Facilities Management Office
This position plays a crucial role in providing administrative and logistical support for the Facilities Mail Center and Management team. The primary focus will be handling incoming and outgoing mail and ensuring that vital communication and documentation flows efficiently within and outside the agency. It requires strong data management skills, meticulous record-keeping and efficient handling of correspondence which will ensure the mail center run smoothly.

Your Specific Responsibilities:
Performs the daily operation and activity of the mail room and central supply areas for the District Office Complex. Receives, checks and signs for supplies and packages. Duties include: processes outgoing United States Postal Service mail using a metered mail system; coordinates the daily incoming and outgoing parcel service shipments to the District’s field units and Tallahassee using various courier services; sorts incoming mail and packages for the District Office Complex and field units, including courier mail and shipments received through the receiving area. Establish and updates mail room, central supply and shared equipment procedures with District Facilities Manager. Exercises independent decision making in setting schedules with regards to the mail and supply room activities. Delivers mail and packages to District Office departments.
Assist in overseeing of the daily operations of the central supply area for the District Office Complex. Duties include: ensures office supply inventory levels accessible to employees are maintained; prepares orders to the necessary vendors to replenish office supplies and paper inventories in order to maintain the necessary supplies for the facsimile machines in the District Office Complex; delivers copy paper to the units when requested.
Purchase all necessary office supplies from vendors for the DeLand Office Complex. This includes the following: keeps up to date on all State and Florida Department of Transportation contracts; maintains a spreadsheet of all supplies used in order to maintain a certain level of inventory as well as expenses; obtains quotes and makes sure that the Administrative Assistant receives an invoice or receipt in a timely manner to process all Purchasing Card and Purchase Order transactions.
Oversees the shared equipment program. Inventories equipment, assigns equipment for usage and
checks back into shared equipment area when returned.
Operates a computer, adding machine, and any other necessary equipment to perform job
responsibilities.
The Successful Candidate will have the following required Knowledge, Skills, and Abilities:
Knowledge of:
+ Computers, including word processing, spreadsheet application, and ordering office supplies online from various contract vendors.
Skills in:
+ Prioritizing work assignments.
Ability to:
+ Learn United States Postal Service procedures.
+ Learn independent mail carrier services procedures.
+ Lift or move heavy packages and cartons of up to 50 lbs.
+ Work independently.
+ Maintain District Office Complex supply inventory.
+ Establish and maintain effective working relationships.
Other Job-Related Requirements:
+ Due to the nature of this position, incumbent must respond to emergencies.
Minimum Qualifications:
+ A high school diploma or equivalent and two years of clerical work experience.
+ Ability to lift 50 lbs.
+ Must have a valid class E driver's license.
+ College education from an accredited institution can substitute for one year of the required work experience.
This position requires a valid Class E driver license with an acceptable driving record in accordance with the Department’s Driver’s Record Requirements Policy. An unacceptable driving record is defined as any of the following:
+ three (3) or more moving violations in the past three (3) years that accumulate three (3) or more points per violation;
+ any two (2) convictions of reckless driving in the past three (3) years;
+ a suspension or revocation of the driver license for moving violations in the past three (3) years; and
+ a suspension or revocation for refusal to take a sobriety test, or any suspension or revocation for a DUI conviction, in the past four (4) years.
Your driving record will be reviewed and the status of your driver license confirmed.
