    Our Organization and Mission:

    The Division of Service Operations manages the Central Intake and Licensure unit, the one-stop shop for intake of applications and payments. The Division also oversees the Customer Contact Center (CCC), which handles all initial interaction conducted via telephone and e-mail.

    The Work You Will Do:

    This is a highly responsible position under the direct supervision of the Regulatory Program Administrator in the Bureau of Central Intake and Licensure, Revenue Unit. The staff member in this position serves as a customer service representative.

    Your Specific Responsibilities:

    The incumbent in this position performs the following work and other related activities:

    + Review documents within the document imaging system and ensure that they are correctly indexed and profiled. Ensure that all documents profiled and records created or updated in the single licensing system are done so correctly and in accordance with established processing guidelines. Ensure that all validations are completed timely and accurately.

    + Research payments received by the bureau that do not have a clearly defined purpose as related to standard department activities. Return all incorrectly submitted payments to their remitter timely.

    + Serves as the customer service representative to our internal customers for the Revenue Units’ customer service window. Coordinate all outbound deposits with courier. Receive deposits from our internal customers and distribute them to the appropriate Revenue Unit team members.

    + Review unresolved Fingerprint card submissions in the Fingerprint queue, and take action to ensure Fingerprint records are returned after no response. Ensure approved 8009 applications are listed on the Ready to Scan list.

    + Monitor and resolve documents sent to the Research queues that have been sent to the unit by internal and external customers that requires a high level of knowledge of the Department’s organizational structure, operating systems and business practices to determine how they should be profiled and routed within the document imaging system.

    + Notify team management of any questionable submissions that are not identifiable through standard processes. Participates in meetings and attends training sessions as scheduled. Participates in the testing of new application software and changes in processing procedures. Reports events, error, or trends to team management.

    + Performs other related duties as required.

    Knowledge, Skills, and Abilities:

    + Knowledge of the Department’s single licensing system

    + Knowledge of the Department’s Document Imaging System

    + Proficient ability in Microsoft Word and Excel

    + Ability to plan, organize and coordinate work activities.

    + Ability to communicate effectively and efficiently both verbal and written.

    + Ability to establish and maintain effective working relationships with others.

    + Basic Internet research and navigation.

    + Basic writing and grammar skills.

    Minimum Requirements :

    + Must have at least one (1) year of professional office experience;and

    + Must have one (1) year of Microsoft Office Experience;and

    + Must have data entry experience;and

    + Must have experience profiling and validating documents/applications in the department's single licensing system (Versa Regulation) and using the department’s document imaging system (OnBase).

    Position Notes:
