Required Qualifications: Applicants must specifically address how they meet these required qualifications to meet the requirements of the position.
+ Ability to independently prioritize workload and manage deadlines and duties.
+ Ability to liaise between faculty, staff, students, and guests of the university
+ Ability to provide clear, concise written and verbal information.
+ Proficiency with clerical skills including creating and maintaining a complex digital and hard copy file maintenance, knowledge of multi-line phone system, and typing/document preparation.
+ Proficiency with Microsoft office programs, including Word, Excel, and Outlook
+ Proficiency with bookkeeping principles and ability to perform business math
+ Two years office experience
+ High School diploma or the equivalent
Preferred Qualifications
+ Knowledge and comprehension of University policies, procedures, and/or State deadlines
+ Knowledge of University purchasing processes including SAP Business Client, TSUS Marketplace, P-Card management, Contracted Services payments & vendor maintenance
+ Knowledge of Banner 9, Self-Service Banner, Student PCR Processing, & BOSS scholarship system
+ Experience with AiM requests
+ Ability to quickly apply training to tasks and seek out additional training when needed.
Job Description
Texas State University-San Marcos invites applications for the position of Administrative Assistant II, School of Theatre, Dance, and Film: Dance Division.
The candidate has the broad responsibility for overseeing the day-to-day administrative operations and specialized activities of the Dance Division; and provides general clerical support to the Dance Division.
Job Duties
+ Process student hiring PCR’s & payroll for student employees as well as occasional faculty stipends.
+ Schedule, train & supervise work of Dance office student employees
+ Work with SoTDF Associate Director over Dance to track budget & expenses of Dance Division.
+ Manage and track purchasing for the Dance Division, in collaboration with the Associate Director over Dance; assuring that the Division complies with all university and state policies regarding purchasing.
+ Maintain up-to-date and accurate financial logs.
+ Maintain and submit accurate p-card logs
+ Process travel & reimbursements for faculty, students, & guest artists.
+ Prepare contracted services forms & request parking passes for guest artists.
+ Process payments to university vendors
+ Coordinate & maintain dance studio reservations.
+ Submit AiM requests.
+ Process scholarships for Dance Division.
+ Collect payments & submit deposits.
+ Process e- NPO payments & reimbursements.
+ Records Disposition; maintain files & review for completeness.
+ Monitor & order office supplies.
+ Coordinate & assist in arrangements for meetings, various activities and events, take clear and concise notes, maintain computer & equipment assets and inventory for Dance Division.
+ Manage deliveries and visitors to the dance division.
+ Answer telephone, screen and transfer calls, take messages, respond to emails promptly, and refer to other offices as appropriate.
+ Manage the routine operation of the division of dance, organize and prioritize work-load, seek out new policy and procedures as updated by the University
