    The Department of Anesthesiology and Pain Medicine has an outstanding opportunity for a Faculty Affairs Business Partner to join their team.

     

    The purpose of this position is to provide operational administration and management of Faculty Affairs (Academic HR) to the Department of Anesthesiology & Pain Medicine (APM). The Department of Anesthesiology & Pain Medicine is a large Department with approximately 500 faculty, staff, and trainees. Academic HR (AHR) work touches some aspect of 300 or more members of the Department.

     

    The faculty affairs business partner’s customers are the entirety of the Department’s faculty at all sites. The daily mission of this position is to keep faculty in this large clinical department able to show up and walk into the OR, clinic, lab or office on any campus and perform in their jobs smoothly and seamlessly with no administrative glitches; ensure leaves are managed in accordance with UW policy; pay is accurate and on time; and out-of-the ordinary issues managed. An important component of success in this position is to ensure that faculty are aware of and compliant with all rules, regulations and guidelines that govern their particular position, and partnership with administration across divisions and centers to ensure faculty processes are communicated and managed appropriately.

     

    Faculty are spread across seven patient care campuses under the UW Medicine umbrella, all of which have different governance structures, compliance requirements, specialties and leadership. In addition, there are different types, kinds and levels of faculty appointments, each with their own sets of rules, guidelines and norms.

     

    The School of Medicine, of which this department is a part, provides the administrative and professional home for the entire faculty. As such, the Department is the base for their faculty appointments, promotions, compensation, academic careers – both research and education -- as well as professional growth and collaboration. Faculty and academic staff appointments, particularly in a clinical department, are multi-phase, multi-process and complex. Therefore, the Department has determined it needs an expert in Academic HR processes primarily engaged in oversight and management of Academic HR operations.

     

    The Business Partner must have a solid understanding of faculty HR processes, including faculty appointment processes intersecting with the areas they will manage, including: credentialing, leave, reviews, and compensation. Additionally, this individual must understand and be able to independently interpret and advise on pertinent faculty processes and policies.

    Duties will fall into five areas of responsibility:

    + Operational Management and Organization of Faculty Compensation, Leave, and FTE - 40%

    + Academic HR Project Management and Process Improvements - 20%

    + Management of Provider Enrollment and Oversight of Medical Staff Credentialing - 15%

    + Management of Faculty Annual Reviews - 15%

    + Supervision of HR Assistant Senior - 10%The individual in this position will report to the Department of Anesthesiology Vice Chair for Finance and Administration (VCFA) and will directly supervise one individual.This is a high volume, complicated job. The Business Partner must have knowledge and experience with all the operational aspects of Faculty Affairs, including:

    + All types of faculty academic appointments;

    + Credentialing for all clinical faculty in all of the UW’s patient care locations;

    + Managing operational segments of faculty compensation;

    + Faculty leaves as dictated by Faculty Code and in operational practice in individual units;The Business Partner must maintain good working relationships within the Department, as well as outside of the departments, i.e., the School of Medicine Office of the Dean, Academic Human Resources Office, Integrated Service Center, and administrative leadership in the various hospitals.The Business Partner must be able to work very independently, be an expert in a variety of technical workflow systems and must have a deep understanding of department policies and practices as well as state, federal and university regulations and policies surrounding faculty compensation and leave.The position is also challenged by expectations of processes and timelines from faculty and leadership that may be out of their control. High EQ is essential with excellent customer service and listening skills.Successful care of patients is a pillar of the UW School of Medicine and fulfills the mission of both UW Medicine and the University. Without dedicated individuals in roles such as this one, UW Medicine could not guarantee credentials are accurate, faculty are paid correctly and appropriately, nor assure compliance in many areas. Without the assurance that Anesthesiologists are properly credentialed, set up in all patient systems, compliant with all laws and policies, a core part of UW Medicine patient care would not work. In addition, the faculty in APM teach residents and do groundbreaking research. The faculty involved in all of these endeavors depend upon positions like this one to ensure they are able to do what they are trained and hired to do. **DUTIES AND RESPONSIBILITIES** Operational Management and Organization of Faculty Compensation, Leave, and FTE (40%)

    + Work with VCFA to manage faculty compensation activities, including:o Work with VCFA to manage faculty compensation activities, including:o Merit increases for faculty;o X/Y Shiftso Additional compensation mechanisms, including unit adjustments, TPS, MACs and SAACso Preparing and/or reviewing CTMs

    + Initiate and/or delegate compensation request and notification letters.

    + Liaison with UWP and CUMG as necessary.

    + Ensure compensation is put into Workday successfully.

    + Oversight of all faculty leave and FTE changes at the Departmental Level. Discuss leave with faculty to ensure appropriate leave types and durations. Ensure faculty understand details and consequences of FTE changes.

    + Provide organization for completing annual compensation activities, including visual tracking mechanism and all required documentation (NTE letters, MAC letters, ADS forms, etc.).

    + Work with HR Assistant Senior on costing allocations for faculty as necessary.Develop and Initiate Department Academic HR Process Improvements and Training (20%)

    + Develop and implement Faculty HR process improvements specifically designed to increase efficiency in processes that intersect with Faculty HR (e.g., faculty leave, retirement, payroll considerations, and faculty compensation compliance).

    + Work with VCFA and Faculty Affairs team to identify areas for process improvement and areas which would benefit entire team function.

    + Design, implement, and oversee tracking and communication mechanisms regarding all faculty lifecycle changes.

    + Serve as expert on department process and procedure around faculty compensation, leave, and FTE management for Department teams who manage cost centers, financials, and grants/contracts.

    + Develop, implement, train and update Division Managers on-boarding and off-boarding processes.Management of Provider Enrollment and Oversight of Medical Staff Credentialing (15%)

    + Identify and oversee initiation and process of credentialing activities with the Faculty Affairs Assistant acting as primary credentialing coordinator for all faculty and locations.

    + Work with central Dean’s office faculty affairs specialists to resolve appointment or credentialing issues that may arise (e.g., visa, licensing or reference difficulties).

    + Oversee, initiate or delegate new appointment onboarding, compliance, training activities.

    + Oversee, initiate or delegate faculty off-boarding tasks, requirements and Workday actions.

    + Manage ongoing communication to faculty as well as administrators, managers and division leadership with respect to faculty appointments and credentialing.

    + Discuss with Assistant Director any appointment or credentialing that needs elevation or additional expertise.

    + Ensure that all pieces of faculty appointments and credentialing are assigned and completed, including faculty votes, signature gathering and other.

    + Serve as primary department liaison with SCH Division administrator to ensure smooth appointment, credentialing, on and off-boarding of Anesthesiology and pain medicine faculty located primarily at SCH.Management of Faculty Annual Reviews (15%)

    + Oversee the development, distribution, collection and finalization of the annual Faculty Review tool and process as outlined by the Faculty Code and as applies to all faculty.

    + Manage faculty annual review process and document collection in compliance with UW and School of Medicine requirements.

    + Facilitate review requirements with Divisions and ensure consistent documentation across sites.Supervision of 1.0 HR Assistant Senior (10%)

    + Responsible for creating job duties, hiring, training and supervision of 1.0 HR Assistant Senior.

    + Provide feedback and timely annual reviews as required.

    + Train HR Assistant Senior in faculty academic processes including credentialing, compensation transactions, and leave tracking.

    + Train and oversee HR Assistant Senior in managing annual faculty activities, including semi-annual Medicare Survey, annual reviews, faculty votes and other routine, operational faculty affairs activities.

    + Delegate certain faculty affairs tasks as appropriate to HR Assistant Senior as they pertain to process improvement efforts and annual Faculty Affairs projects.

    + Provide growth opportunities and career advancement as appropriate. **MINIMUM REQUIREMENTS**

    + BA in business, health services management, psychology, organizational development or other applicable areas of study.

    + Minimum 3-4 years’ experience in HR management. **Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.** **ADDITIONAL REQUIREMENTS**

    + Equivalent education or experience may substitute in case-by-case basis.

    + Experience with medical credentialing.

    + Experience with academic appointments.

    + Demonstrated customer service to a variety of customers, both junior as well as very senior customers.

    + Demonstrated ability to handle high volume of activity, both individually as well as by organizing and delegating activities.

    + High degree of accuracy.

    + Exercises high degree of excellent professional judgment. Knows when to seek guidance and when to act independently.

    + Excellent verbal and writing skills.

    + Experience working in Workday.

    + Expert in using Microsoft suite of products.

    + Ability to delegate effectively and collegially.

    + High degree of organization. **DESIRED QUALIFICATIONS**

    + Masters’ in Healthcare Administration, Public Administration, Business or similar.

    + Experience supervising one or more individuals.

    + Lean methodology experience.
