    Job Summary

    This role coordinates the administrative and logistical aspects of Eccles Global learning abroad programs to ensure the smooth planning and execution of international experiences. The position involves supporting faculty and students in program preparation, budget management, and travel arrangements. This is not a remote position; it requires four days on-site and one hybrid workday each week. Occasional international travel may be necessary based on program requirements and with supervisor approval.

    Responsibilities

    + **Administrative Support:** Provide general administrative support for Eccles Global programs to ensure smooth daily operations. This includes managing program documentation and records, coordinating travel itineraries and accommodations, scheduling meetings, maintaining program calendars, handling correspondence, Concur, and assisting with other tasks as assigned.

    + **Work with Campus Partners and Providers:** Serve as a liaison to international partners to support faculty and students. Ensure all partnership agreements go through the proper approval channels and handle related contract management tasks to maintain compliance and organization.

    + **Learning Abroad:** Coordinate with the Office of Learning Abroad to oversee student applications in the Terra Dotta, student travel insurance, etc.

    + **Faculty Coordination:** Collaborate with faculty program leaders to organize program details and ensure they have the support needed for successful program delivery. Serve as a liaison between faculty and external providers by assisting with itinerary planning, academic material preparation, and other logistical needs.

    + **Pre-Departure Orientation Support:** Provide assistance for comprehensive pre-departure orientation meetings, ensuring students and faculty receive all essential information. Serve as a primary point of contact for student questions and concerns before departure.

    + **Budget Analysis and Tracking:** Conduct cost analyses and maintain detailed budget tracking for each learning abroad program. Monitor program expenditures, generate budget reports, and coordinate with vendors to ensure cost-effective operations.

    + **Reimbursements:** Ensure timely submission of all reimbursement requests for faculty and Eccles Global staff and follow up to facilitate prompt processing.

    Minimum Qualifications

    Bachelor’s degree in a related field or equivalency (one year of education can be substituted for two years of related work experience), plus one year of directly related experience

     

    Demonstrated ability to work independently, analyze and make decisions related to program content. Strong coordination and organizational skills required to prioritize conflicting deadlines. Demonstrated human relations and effective communication skills are also required.
