    Join our team as a Director of Operations! In this role, you will administer and provide strategic leadership for the operational aspects of the Institute of Biosciences and Technology (IBT) and provide oversight for operations of the Department of Translational Medical Sciences (DTMS). This role oversees daily operations, ensures alignment with departmental goals, manages staff, and provides oversight of financial, space, and compliance-related activities.

    Qualifications

    Required Education and Experience

    + Bachelor’s degree in applicable field or equivalent combination of education and experience

    + 10 years of related management experience

    Knowledge, Skills, and Abilities

    + Ability to effectively communicate both orally and in writing

    + Strong interpersonal and organizational skills

    + Knowledge of contract administration, project management and higher education administration practices

    + Ability to multi-task and work cooperatively with others

    Responsibilities

    + Operations & Leadership: Collaborates with the Executive Director to provide daily operational leadership for the Institute of Biosciences and Technology (IBT) and provide oversight of the Department of Translational Medical Sciences (DTMS). Directs, implements, and monitors program goals aligned with the center’s mission. Leads strategic planning and program integration in accordance with the scope and mission. Coordinates and provides strategic oversight of departmental research and educational goals ensuring program goals are consistent with departmental and University missions. Serves as part of the departmental leadership team, collaborating with the Executive Director and Alkek campus leadership on operational challenges and strategic initiatives. Ensures smooth operations and compliance with unit, university, governmental, and departmental policies and procedures, and effective risk management. Directs program participants in fiscal management to ensure resources are accounted for according to budgetary guidelines. Plans and coordinates meetings for administrative, technical, and participant teams to collaborate and present results. Completes special projects as requested by the Executive Director.

    + Strategic & Financial Oversight: Leads and assists in developing and implementing key initiatives, strategic planning, and operational efficiencies for areas of responsibility. Assists finance team with annual budget preparation and monitors expense control for areas of responsibility. Provides input into the overall departmental budget, working with SRS, faculty and leadership to ensure accurate and timely budget strategies. Reviews key departmental metrics and provides strategic direction for financial outcomes, including non-state funding sources. Develops and monitors departmental business plans, financial reports, and spending to align with university goals. Oversees and monitors departmental spending, expenditures, travel transactions, encumbrances and reserves.

    + Space and Compliance Management: Oversees facility space requirements, asset management, record retention, property management, and business continuity planning. Ensures compliance with institutional training, conflict of interest policies, and university standards. Monitors departmental websites, social media, and other external platforms to ensures alignment with university missions. Formulates and implements departmental policies and procedures, ensuring IT standards are met.

    + Staff Supervision and Development: Provides support and direction for faculty operations and engages in faculty support while assisting the Executive Director with faculty affairs, processes and procedures. Manages and mentors’ administrative staff, providing direction, coaching, and development opportunities. Sets performance goals, evaluates success, and conducts annual performance reviews for staff. Directs and oversees administrative functions for efficient time and attendance administration for direct reports and delegated tasks. Ensures compliance with departmental policies and provides strategic vision for employee development.

    + Communication and Coordination: Coordinates administrative processes and ensures effective communication between department leadership, university stakeholders, and external partners. Serves as liaison to the IBT Executive Director and various University committees, departmental committees, and associations. Facilitates communication and strong working relationships with Texas A&M University leadership, and other stakeholders.

    + Other Duties: Serves as the Campus Programs for Minors Liaison for the Institute of Biosciences and Technology to fulfill the responsibilities in accordance with University Rule 24.01.06.M1 Campus Program(s) for Minors Liaison Responsibilities: Ensuring all documentation for programs under their purview, including Third Party programs, is on file prior to the start date and is retained in accordance with university rules.
