Description We are looking for a dedicated Front Desk Medical Receptionist to join a thriving medical spa in Newtown, Connecticut. This role involves providing exceptional customer service to clients while managing various administrative tasks to support the office's operations. Responsibilities:
• Respond promptly to client inquiries about services, ensuring all questions are addressed professionally.
• Follow up with potential clients generated through the website or digital marketing campaigns.
• Schedule appointments and coordinate with medical staff, including doctors, physician assistants, and nurses, to ensure seamless service delivery.
• Maintain and update the office calendar, ensuring accurate scheduling of services and staff availability.
• Handle administrative tasks such as faxing, coding, and taking detailed notes as needed.
• Manage inbound calls using a multi-line phone system, directing calls appropriately and taking accurate messages.
• Process payments and manage cash transactions while maintaining accurate financial records.
• Provide courteous and efficient assistance to walk-in clients and ensure a welcoming reception area.
• Utilize CRM tools to organize client information and track leads effectively. Requirements
• Experience with customer relationship management (CRM) systems.
• Proficiency in managing inbound calls and handling multi-line phone systems.
• Strong skills in cash handling and processing financial transactions.
• Excellent phone etiquette and ability to communicate professionally.
• Demonstrated ability to schedule appointments and coordinate multiple schedules efficiently.
• Familiarity with medical or wellness environments is an advantage.
• Attention to detail and ability to manage administrative tasks such as faxing and coding.
• Strong organizational skills and ability to prioritize tasks effectively.
