Description

1. Accounts Payable:

+ Process invoices with accuracy and efficiency, ensuring compliance with organizational policies and procedures.

+ Utilize 3-way matching to verify invoices, purchase orders (POs), and receiving documents for accuracy and completeness.

+ Resolve discrepancies in invoices related to pricing, quantity, or terms in collaboration with procurement or warehouse teams.

2. Coupa & Systems Expertise:

+ Leverage Coupa or similar procure-to-pay (P2P) platforms for invoice submissions, approvals, and tracking.

+ Assist with troubleshooting issues within the Coupa system, including invoice submission errors or approval bottlenecks.

3. Vendor Management:

+ Maintain and update approved vendor lists, ensuring all necessary documentation, such as W-9s, is current.

+ Communicate with vendors to handle inquiries, resolve discrepancies, and build strong working relationships.

+ Monitor vendor accounts and ensure timely payments to maintain good standing.

4. Reporting & Reconciliation:

+ Reconcile accounts payable transactions and supplier statements; investigate and resolve discrepancies promptly.

+ Assist with month-end close processes, including accruals and reporting on invoice statuses.

+ Provide detailed documentation and support during audits.

5. Process Improvement:

+ Identify opportunities to streamline accounts payable processes, including improving matching procedures or optimizing usage of the Coupa platform.

+ Partner with internal teams (e.g., procurement, accounting) to enhance the efficiency of procurement-to-payment workflows.

Requirements

Education & Experience:

+ Bachelor’s degree in Accounting, Finance, or a related field (preferred) or equivalent work experience.

+ 3+ years of experience in accounts payable, with specific expertise in 3-way matching and Coupa software.

Technical Skills:

+ Proficiency in Coupa, ERP platforms (e.g., Oracle, SAP, NetSuite), and Microsoft Excel (pivot tables, VLOOKUPs).

+ Familiarity with AP audit protocols and best practices in 3-way matching systems.

Soft Skills:

+ Strong communication skills for vendor relations and cross-department collaboration.

+ Excellent organizational and time management skills to handle high invoice volumes.

+ Analytical mindset to identify and resolve discrepancies efficiently.
