    Position Title:

    Service Coordinator-Real Estate-Housing And Transportation Administration-Mount Sinai Health System-Full Time -Days

    Position Summary:

    The Service Coordinator is an individual, responsible for dealing with the issues related to the services provided at assigned properties within the Real Estate portfolio.

    Qualifications

    + High school diploma required, Bachelor’s degree preferred.

    + Must be able to work independently and possess excellent organizational, communication and telephone skills. Must be able to multitask and interacts well with customers, managers, directors, vice presidents and other leadership.

    + Five years related experience in a commercial building or property management company required.

     

    Compensation Statement

     

    The Mount Sinai Health System (MSHS) provides salary ranges that comply with the New York City Law on Salary Transparency in Job Advertisements. The salary range for the role is $23.01 - $34.52 Hourly. Actual salaries depend on a variety of factors, including experience, education, and operational need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.

    Responsibilities

    + With minimal supervision, assists the Senior Facility Manager with all administrative duties in the management of property overseen by the Department of Real Estate, including but not limited to, assisting with coordination of activities, inventory control, conducting quality surveys, analyze, interpret and communicate survey results, administering organizational policies and procedures etc.

    + Assists Senior Facility Manager in administering policies and procedures related to maintaining high quality tenant service.

    + Maintain Angus database for dispatching service requests from customers and senior manager, to the porter, the Handyman and vendors.

    + Order and maintain supplies for the building.

    + Supervise porters and contracted vendors, ensuring satisfactory completion of jobs assigned.

    + Receives and transmits information by telephone, email and in person.

    + Process/update vendor service tickets, invoices, purchase requisitions and other institutional forms as necessary.

    + Assists in maintaining departmental compliance with requirements of federal, state and local agencies. Maintains calendar of deadlines imposed by real estate department and outside agencies.

    + Responds to and addresses service requests within 24 hours to 48 hours.

    + May schedule vendor or building staff for follow-up appointment as needed to resolve a concern or complete an assigned job.

    + Provide customers with guidelines for reserving conference rooms and other amenities, if necessary.

    + May serve as administrative liaison with others within and outside the Department regarding administrative issues related to purchasing, personnel, facilities, operations, tenant services, etc.

    + Update and verify statistics on seat count and other space utilization demographics as needed.

    + Participates in customer service initiatives, preparation for Board of Trustee meetings vendor promotions events on site etc.

    + Facilitates and coordinates event planning by serving as a liaison between sponsor department’s representative and other internal stakeholders like Security and Landlord.

    + Maintains an active knowledge base of the departments located in the building and the type of service they provide to Mount Sinai Health System.

    + Coordinates necessary documentation between the departments reserving use of conference room or hoteling space and Real Estate office to ensure smooth transfer of information and a satisfactory experience.

    + Assist in budget preparation and control activities.

    + Demonstrates a professional, courteous and respectful attitude in dealing with customers and all members of the health system staff.

    + Tracks the building staff and self’s continuing education credits.

    + Prepare and retain records, statistics, files and reports regarding operations, personnel changes etc. in accordance with standards.

    + Provides vacation coverage and lunch coverage for other team members as needed.

    + Participates in the department’s performance improvement activities.

    + Meets regulatory, licensure and annual health assessment requirements.

    + May screen and interview job applicant.

    + Assists with the onboarding of new staff for the building and department.

    + Participates in submitting payroll for staff.

    + Adheres to Mount Sinai’s legal and ethical standards.

    + Performs other related duties as assigned.
