    Description

    Job Title:Accounting Assistant Department:Admin

     

    Reports to:Accounting Supervisor Effective Date: June 2025

     

    Schedule:35 hours per week, Monday through Friday

    Job Summary:

    Handles various accounting functions as part of the YWCA Business Office team. Responsible for the reconciliation of general ledger accounts, and preparation of third-party contract billing.

    Supervisory Responsibilities:

    + None

    Duties/Responsibilities:

    + Daily processing of cash receipts to general ledger.

    + Record monthly membership income and EFT payments from Twin Oaks billing summary reports.

    + Monthly reconciliation of bank accounts.

    + Monthly preparation of third-party contract billing and preparation of invoices as needed for other services. Follow-up to ensure timely receipt of payments.

    + Monthly reconciliation of AR, Clearing Accounts, AR Other, Accrued Misc. Expense Accounts. Quarterly reconciliation of all other balance sheet accounts.

    + Assist CFO with the annual independent audit and prepare audit schedules requested by the auditors in a timely fashion.

    + Cross-train and complete the following functions in the absence of the AP clerk: front desk daily cash deposit, petty cash, producing manual checks, inputting A/P invoices for payment, investigating AP inquiries.

    + Cross-train on Bi-weekly payroll in absence of the administration

    + Update the following tracking sheets: investment sheet, Foundation Grant spreadsheet, ASOST Grant

    + Import payroll entries into Accufund

    + Responsible for running reports required by supervisors and/or auditors including time detail history and time exception reports.

    + Assist with budget preparation.

    + Process weekly Tuition Express for child care billing and communicate with parents as necessary.

    + Perform other duties as assigned.

    Qualifications

    Required Skills/Abilities:

    + Experience with Accounting software and proficiency in Microsoft Excel

    + Excellent communication skills

    + Excellent organization and interpersonal skills

    + Excellent teamwork skills

    Education and Experience:

    + Associate’s degree in accounting, or related field with significant course work in Accounting

    + 3 – 5 years related experience

    Physical Requirements:

    + Prolonged periods sitting at a desk and working on a computer.

    + Must be able to lift up to 15 pounds at times.
