Richmond Community Services is seeking a detail-oriented, organized Administrative Assistant to provide vital support to our Day Programs. The ideal candidate will bring strong communication skills, a passion for helping others, and the ability to manage multiple priorities in a dynamic, mission-driven environment.
Key Responsibilities:
+ Provide comprehensive administrative support to senior management, including scheduling, correspondence, data entry, filing, and recordkeeping.
+ Support clinical processes by coordinating annual and semi-annual participant reviews, scheduling meetings, preparing packets, and ensuring compliance with documentation standards.
+ Serve as a point of contact for internal and external stakeholders, exercising sound judgment and discretion.
+ Prepare reports, presentations, and training materials; assist with logistics for meetings and training sessions.
+ Monitor office supplies, manage purchase orders, and maintain organized supply areas.
+ Maintain accurate charts, ledgers, and billing documentation for program participants.
+ Support quality assurance initiatives and contribute to a positive and efficient team environment.
+ Participate in agency-wide emergency preparedness, safety protocols, and ongoing professional development.
Qualifications:
+ High School diploma or equivalent required; 3+ years of administrative/secretarial experience supporting multiple staff preferred.
+ Strong computer skills, including proficiency in MS Office (Word, Excel, PowerPoint) and internet research.
+ Excellent verbal and written communication skills, with attention to detail and accuracy.
+ Ability to manage multiple tasks, prioritize effectively, and work both independently and as part of a team.
+ Strong problem-solving skills, discretion with confidential information, and a professional demeanor.
+ Ability to attend meetings at multiple locations and work some early mornings, late afternoons, evenings, and weekends as needed.
+ Typing proficiency of 50+ words per minute.
Work Schedule:
+ Regularly scheduled 35-hour workweek, with flexibility required based on program needs.
+ Eligible for overtime.
