Administrative Assistant – Healthcare Setting (Oakland, CA)
Full-Time | Monday–Friday | 8:00 AM – 5:00 PM | Onsite
We are seeking a proactive and detail-oriented Administrative Assistant to support a dynamic healthcare team across multiple sites in the East Bay, including Oakland, Berkeley, Richmond, San Pablo, and Pinole. This is an exciting opportunity to contribute to a mission-driven organization focused on delivering high-quality care to the community.
Key Responsibilities:
+ Provide high-level administrative support to Center Directors, Managers, and clinical leaders, including calendar management, meeting coordination, and general office assistance.
+ Generate daily huddle reports using dashboards and data tools to support clinical and operational decision-making.
+ Coordinate building operations by submitting work orders, maintaining safety plans, and managing equipment inventories.
+ Track and follow up on service tickets to ensure timely resolution of site-specific issues.
+ Manage supply orders, purchase requests, and invoice processing through Coupa.
+ Handle incoming and outgoing mail, including certified and registered correspondence.
+ Serve as a liaison between staff and other sites to ensure smooth communication and coordination.
+ Maintain and adjust provider appointment templates in alignment with scheduling protocols.
+ Support accurate scheduling by understanding clinical workflows and service offerings.
+ Assist leadership in tracking provider productivity and patient access metrics.
+ Monitor staff attendance and help coordinate last-minute coverage needs.
+ Prepare agendas, take meeting minutes, and support reporting and documentation tasks.
+ Review and process employee timecards and leave requests in Paycom.
+ Assist with onboarding, annual reviews, and peer review documentation.
+ Coordinate logistics for internal programs such as CME and clinician association meetings.
+ Maintain organized documentation systems for reports, presentations, and approvals.
+ Act as a primary administrative contact for clinical and non-clinical staff.
+ Uphold confidentiality and ensure compliance with HIPAA and privacy policies.
+ Provide regular updates to site leadership and contribute to operational awareness.
+ Perform other duties as assigned to support clinic efficiency.

Pay and Benefits
The pay range for this position is $30.00 - $33.00/hr.
