Job Summary:
The Business Operations & Project Controls Assistant provides essential administrative and analytical support across project and area operational functions including support for all indirect and direct project activities. Working closely with the regional Project Controls Manager, Operations Teams, Accounting/Payroll, HR, and other internal departments, this role supports the successful execution and closeout of projects. Responsibilities span contract review, project financial set up and tracking, procurement support, compliance documentation, project billings, and general administrative tasks. Education:
• Associate or Bachelor's degree in Business Administration, or a related field preferred.
Experience:
• 5 years of relevant experience in administrative, project controls, or operations support.
Skills:
• High attention to detail and accuracy in data analysis.
• Strong/Advanced Microsoft Office skills which must include Microsoft Word & Excel skills.
• Ability to manage multiple tasks and prioritize competing deadlines.
• Strong written and verbal communication skills.
• Comfortable working independently and as part of a team.
• Analytical mindset and willingness to learn project financial concepts.
• Strong project accounting skills and understanding of contract billings, budgets, physical & financial percent complete, committed costs, revenue recognition, and analysis.
Responsibilities:
Project Controls Support
• Complete EPR project set up and maintenance including contracts, budgets, change orders, and project reporting.
• Assist Operations Team with project financial tracking, budgeting, forecasting, and revenue recognition.
• Support project estimating and start-up, including creation of Work Breakdown Structures (WBS) and cost codes in alignment with budgets.
• Gather and maintain data for project reporting, including change orders, committed costs, and cost-to-complete forecasting.
• Help ensure data integrity in financial systems and support the preparation regional financial reporting.
• Assist in collecting documentation for change management processes and risk/opportunity tracking.
• Complete project billings including preparation and review of time and material billing packages.
Operational & Administrative Support
• Provide administrative assistance to regional operations teams, including document control and filing.
• Coordinate travel arrangements for field and management personnel.
• Support equipment and certification tracking; maintain up-to-date logs and reports.
• Manage company fuel card issuance and tracking.
• Assist in project start-up and close-out activities.
• Coordinate logistics and procurement activities; generate and track purchase orders.
• Support certified payroll and contract compliance reporting.
HR, Safety & Compliance Support
• Assist with onboarding, I-9 verification, and timekeeping for project staff.
• Support HSE with drug screens, safety certifications, ISNetworld badging, and monthly subcontractor reporting.
• Maintain compliance postings and ensure required documentation is visible and accessible at project locations.
Accounting & Communication Support
• Assist with vendor communication and document gathering for accounting.
• Support credit card reconciliation and coding.
• Assist with weekly/monthly close calendar activities.
Physical Demands Working Environment:
• Standard office environment, with extended periods of sitting and close computer work.

Salary Range:
• $75K - $90k
• Pay is commensurate with experience and qualifications.
