    Position: Clinical Scheduling Coordinator

    As a Clinical Scheduling Coordinator, you will be a key player in ensuring a smooth, timely, and personalized experience for each client. You’ll coordinate complex medical schedules, serve as a liaison between clients and clinical teams, and ensure that all aspects of care are delivered with precision and professionalism. Your work will help ensure that our clients receive the best care possible—on time and without hassle.

    What You’ll Do

    + Coordinate Client Appointments: Schedule intake visits, imaging studies, lab work, results reviews, and follow-ups with efficiency and attention to detail.

    + Ensure Continuity of Care: Monitor client progress and follow up on no-shows, reschedules, and post-visit requirements.

    + Client Communication: Respond promptly and professionally to client inquiries via phone and email, aiming to resolve issues within two hours.

    + First Point of Contact: Greet clients and visitors warmly, ensuring a professional and welcoming front-of-house experience.

    + Protect Confidentiality: Handle sensitive health information in compliance with HIPAA and privacy best practices.

    + Team Collaboration: Work closely with our Executive Assistant team and clinical leadership to maintain smooth operations and communication.

    + Manage Provider Schedules: Coordinate calendars for physicians, nurse practitioners, and the Medical Director to ensure clinical efficiency.

    + System Management: Maintain up-to-date records in Allscripts PM/EHR, Salesforce, and Outlook to ensure data integrity.

    + Client Service Excellence: Confirm all services, appointments, and payments are accurately scheduled and completed to deliver a top-tier experience.

    + Special Projects: Support departmental initiatives and maintain organized documentation for ongoing or one-time projects.

     

    What We’re Looking For

    Required Qualifications:

    + High school diploma or equivalent

    + Experience in a healthcare or clinical scheduling role

    + Strong communication skills, both written and verbal

    + Excellent organization and multitasking abilities

    + Comfort working in a fast-paced, client-facing environment

    + High attention to detail and commitment to follow-through

    + Ability to maintain confidentiality and exercise discretion

    + Ability to work independently and prioritize effectively

    + Availability to work 8-hour shifts between 7:00 AM and 6:00 PM

    Preferred Qualifications:

    + Bachelor’s degree

    + Background in biotech, pharma, or healthcare environments

    + Experience with Allscripts, Salesforce, and Microsoft Outlook

    + Knowledge of HIPAA and patient confidentiality standards
