    Job Summary and Qualifications

     

    The Administrative Assistant provides administrative and clerical support to Directors of the organization and their management teams.

    Essential Job Functions:

    1. Greets visitors and callers, answers their inquiries, and directs them to the appropriate persons according to their needs.

    2. Prepares routine correspondence, memos, minutes of meetings, routine reports and other materials or documents using word processing, spreadsheet, or presentation software.

    3. Makes arrangements and prepares agendas for committee and other meetings. Ensures appropriate meeting notification and timely provision of follow-up actions.

    4. Manages and maintains director’s schedule, makes travel arrangements.

    5. Performs general office duties such as ordering supplies, duplication, and distribution of documents.

    6. Organizes and maintains paper and electronic filing systems for records, correspondence and other materials.

    Additional Job Functions:

    1. Serves as a key point of contact with outside vendors and agencies and represents MHS effectively when dealing with customers.

    2. Supports the mission and vision of the Methodist Healthcare System and demonstrates excellent customer service at all times.

    3. Understands and is committed to helping the Methodist Healthcare System and its associated facilities achieve its goals.

    4. Must learn and comply with System and facility safety policies and rules; must use appropriate safety equipment and procedures at all times; must immediately report all unsafe conditions to supervisors; must be familiar with all safety features of equipment, tools or materials encompassed by job duties; and must check with supervisors (prior to job performance) if there is a question as to the safe procedure to be used for any job function.     Required Knowledge, Skill, Abilities and Other Job-Related Characteristics (KSAOs) Minimum Education and Experience:

    High School Diploma or GED.
