Sr. Contract Coordinator – Office of Toll Operations – Toll Systems Support & Maintenance
This position plays an important role in the agency by reviewing contract invoice submittals for complexness, compliance and accuracy while ensuring that all documentation is audit-ready and maintained in accordance with retention requirements.

Your Specific Responsibilitie s:
Reviews contract invoice submittals for complexness, compliance and accuracy. Ensures all required supporting documentation is included and that invoices align with contract terms, payment milestones, and Department standards. Coordinates directly with contractors and internal staff to resolve discrepancies. Submits invoice packages for approval and routes them through appropriate systems, including MyFloridaMarketPlace (MFMP), Ariba on Demand (AOD) and SharePoint, for timely and accurate processing. Ensures that all documentation is audit-ready and maintained in accordance with retention requirements.
Tracks spending and encumbrances against approved budgets. Monitors remaining balances and prepares monthly expenditure reports to support internal financial oversight. Coordinates with the Toll Systems Program Manager, Project Managers, Maintenance Managers and other team leads to maintain current budget status and identify potential funding issues. Supports the development of annual budget requests and assists in the preparation of the Department’s five-year financial planning documents.
Assists in developing, drafting and execution of new contracts, renewals, amendments, and procurement requests. Prepares scopes of services, payment schedules, and deliverables in coordination with program staff. Ensures procurement documentation is routed through appropriate channels and complies with Department procedures and Florida Statues.
Prepares task work orders and associated payment milestones. Coordinate with staff and contractors to ensure timely execution, proper alignment with contract funding, and adherence to schedules. Tracks execution status and maintains associated approvals and documentation.
Maintains organized contract files and supporting documentation. Establishes and maintains folder structures and filing protocols to ensure compliance with Department and State requirements. Ensures all materials are easily accessible and updated throughout the contract life cycle and in accordance with all required retention policies.
The Successful Candidate will have the following required Knowledge, Skills, and Abilities:
Knowledge of:
+ basic accounting and auditing principles, theory, and concepts including Generally Accepted Accounting Principles (GAAP)
+ various procurement methods and vendor invoice processing
+ accounting systems, knowledge of accounting and auditing processes
Skills in:
+ conducting financial and statistical management analysis in the preparation of management reports.
+ word processing, spreadsheet, and database applications
Ability to:
+ collect, compile, and interpret accounting data from sizeable databases
+ learn and administer procurement methods in accordance with Florida Statues and Administrative Code
+ communicate effectively both verbally and in written format to internal and external customers and team members
+ collect, evaluate, and analyze financial data to develop alternative recommendations in solving problems
+ plan, organize, and manage diverse and multiple projects
+ meet established deadlines
+ perform quality assurance reviews and provide creative work solutions
+ prepare, reconcile, and analyze a variety of accounting records and reports
