    Join our team as an Administrative Associate V in the Office of Academic Affairs at the Texas A&M College of Nursing! In this role, you will serve as the receptionist for the front lobby area and provide highly advanced administrative support to office of academic and faculty affairs.

    Minimum Required Qualifications

    + High school diploma or equivalent combination of education and experience

    + Five years of experience in general office or clerical work

    The well-qualified candidate will also possess

    + Associates degree or higher

    + Three or more years in higher education

    + Five years or more of directly related experience in office administration

    + Ability to effectively communicate both orally and in writing

    + Ability to positively and professionally interact with clients and staff

    + Knowledge of word processing, spreadsheet, and database applications

    + Excellent written communication, analytical, interpersonal, and organizational skills

    + Event planning experience and ability to organize effectively

    + Ability to oversee logistics and final details of multiple projects

    + Ability to problem solve and work independently once given a project

    + Ability and willingness to work as a team member

    + Ability to work in a high stress environment

    + Ability to work with sensitive information and maintain confidentiality

    Responsibilities

    + Reception and Administrative Support Duties: Serves as the primary point of contact at the front desk; greets visitors professionally, provides general information, and refers inquiries to the appropriate personnel. Answers and routes phone calls in a courteous and timely manner. Provides administrative support to the Office of Academic and Faculty Affairs and to assigned faculty members. Assists with planning and execution of academic office operations, including scheduling, communications, and logistical coordination. Supports class, classroom, and exam scheduling processes; assists with tracking student cohorts and academic planning logistics. Supports the Academic Assessment and Evaluation Manager in collecting and maintaining student and faculty outcome data for accreditation and compliance purposes. Assists in the coordination of daily workflow and the resolution of complex, highly sensitive and confidential matters. May help onboard and train student workers and support staff as needed.

    + Compliance and Records Management with Special Projects: Maintains electronic and physical records in accordance with institutional policies. Performs accurate data entry, retrieval, and quality checks to ensure data integrity. Prepares, proofreads, and formats documents for reports, presentations, and official publications. Supports office compliance processes, including record retention procedures and preparation of compliance-related materials . Serves as a backup for data entry in the faculty workload tracking system, supporting reporting for teaching, scholarship, service, and special projects. Under the direction of the Academic Assessment and Evaluation Manager Collects, compiles and analyzes data for assessment and evaluation. Tracks employment data of former students to support accreditation and program evaluation. Contributes to planning and implementation of college-wide initiatives and projects by analyzing requirements and coordinating efforts with stakeholders. Collaborates with College of Nursing staff, faculty, and administrators to meet evolving program needs across multiple campuses. Assists with special projects and initiatives as assigned, including those requiring cross-functional coordination. Participates in committees or working groups as assigned.

    + Logistical and Administrative Duties: Develops and monitors office procedures to ensure efficiency and compliance with administrative standards. Provides direct support to assigned faculty members, including assistance with instructional materials, grant-related documentation, and preparation of promotion and tenure dossiers. Coordinates logistics for meetings, retreats, events, and special functions; provides planning and problem-solving support to ensure successful execution. Schedules and coordinates meetings; records and distributes meeting minutes; monitors completion of action items and committee tasks. Reviews documents for accuracy and completeness; conducts special analyses and prepares summaries for supervisor review. Responds to inquiries and interprets rules, regulations, policies and procedures. Makes recommendations for process improvements, administrative changes, or new initiatives. Provides technical information regarding administrative procedures, services, or programs.
