Position Description:
Coordinates a section in a department that has institutional oversight responsibilities. Responsibilities involve the
coordination and supervision of the various functions and aspects of a specific program or departmental project as well as the monitoring of program staff and operational procedures. Work is performed under general supervision with evaluation based on results obtained. May supervise program staff, volunteers and/or students.

Major/Essential Functions:
+ Contact person and admin responsible for the following support departments: MPIP, SOM Medical Coding, OSHI and OSBI.
+ Schedule, coordinate and prepare meeting and/or activities for support departments. Timely preparation and/or provision. Maintain records and develop minutes as required.
+ Responsible to manage the Property Inventory for support departments, keeping control, documentation, location, reporting, and the annual inventory.
+ Responsible to manage the ASC System to upload and monitor the contracts for the support departments, up to completion.
+ Process purchase orders and ensure timely payment for vendor services. Keep track of purchase orders funds and adjust as needed.
+ Manage multiple systems to ensure proper process of tasks for the support departments (TechBuy, Chrome Rivera, Encumbrance, Budget Revision, Property Inventory, ePAF, EOPs, PASS, TimeClock, WebTMA, SysAid, etc.).
+ Process HR transactions for support departments.
+ Monitor the cleaning service and building functionality to ensure proper and safe operations and environment of the workplace.
+ Responsible to keep office supplies inventory to maintain resources available for smooth operations.
+ Responsible to address and resolve the employee request regarding equipment needs, maintenance, supplies.
+ Receive and handle any questions or concerns of the employees, and solve or direct them to the proper department or person, observing confidentiality and respect.
+ Serve as Public Notary and Safety Officer for the support departments.
+ Responsible to properly dispose of the office supplies, equipment and devices; observing the established process for items under the Property Inventory Management and/or General Services, for the support department.
+ Submit and process all PO and invoice payments into banner system for all vendors and equipment for all the divisions.
+ Adhere to all TTUHSCEP policies, procedures and processes.
+ Personally demonstrate, display, and act in accordance with TTUHSCEP values (Service, Respect, Accountability, Integrity, Advancement, and Teamwork).
+ Perform all other duties as assigned.
