Job Description
This role supports a highly respected organization known for its strong culture and commitment to excellence. The Administrative Specialist will be responsible for entering and managing invoices in NetSuite, following up with project managers to confirm payment readiness, and tracking invoice status across multiple financial worksheets. They will also input financial forecasts into ServiceNow and provide general administrative support, including managing calendars, preparing expense reports, handling mail and document filing, screening calls and visitors, and coordinating travel arrangements. The ideal candidate is detail-oriented, adaptable, and comfortable working in a dynamic environment with shifting priorities. This role can pay 22-24 hourly, depending on experience level.

Skills and Requirements
Strong data entry skills
Ability to manage invoices in NetSuite: entry, review, and follow-up with PMs/Managers
Experience tracking invoice status (accrued vs. paid)
Data entry of financial forecasts into ServiceNow
Ability to track and manage multiple financial worksheets
Strong communication skills (chat and email)
Detail-oriented and able to work in a fast-paced, ever-changing environment Basic financial background or understanding
Experience with administrative support in a project management or financial setting null
