The Early Learning and Development Program within the Idaho Department of Child, Youth, and Family Services is currently seeking a qualified individual for the position ofAdministrative Assistant 1. We are looking for a detail-oriented and motivated professional who thrives in a fast-paced, collaborative environment. The ideal candidate will be capable of managing a diverse workload and effectively coordinating multiple priorities. Strong proficiency in Microsoft Excel and the full suite of Microsoft Office products is essential, along with effective business writing skills. Attention to detail is critical for success in this role. Candidates should have at least one year of experience performing a wide range of administrative support functions. EXAMPLE OF DUTIES:
+ Performs a wide variety of secretarial functions; coordinates non-routine secretarial and clerical activities to include composing letters, correspondence, and memos requiring independent judgment as to content.
+ Compiles and analyzes information from a variety of sources to prepare reports.
+ Utilizes a variety of software and databases to create, process, and maintain a various of documents and administrative records containing technical information and difficult formats.
+ Organizes data and manages a database.
+ Independently solves problems/performs liaison activities in a work setting.
+ Coordinates activities requiring complex arrangements.
+ Acts as a liaison between organizational unit and external customers.
+ Interprets and responds to inquiries and explains department services, policies, procedures, and rationale for decisions to customers.
+ Prepares financial transactions such as credit card transmittals and other bookkeeping records; may monitor budgets.
+ Provides administrative support to include scheduling and coordinating arrangements for meetings and/or conferences, including arranging travel for out-of-area participants.
+ Works with vendors on the process of making payments; including the tracking of payments.
MINIMUM QUALIFICATIONS:
You must possess all the minimum qualifications below to pass the exam for this position. + Good knowledge of office support functions including word processing, filing, composing a variety of business documents and reception.
+ Good knowledge of gathering and compiling data.
+ Good knowledge of balancing and coordinating a workload for multiple projects.
To meet these minimum qualifications, you must have the following:
+ One year of work experience performing a wide variety of office support functions as the predominant responsibility of the job; OR successful completion of the core requirements for an Associate (A.A.) degree in an office administration course of study or equivalent.
+ At least 6 months of work experience with responsibility for answering business phones, greeting visitors, AND screening callers for further access to staff.
+ At least 1 year of work experience gathering information from a variety of sources to collect and compile requested information and requires a good knowledge of services, operations, or programs.
+ At least 1 year of office work experience which require balancing, coordinating, and setting priorities for multiple projects with varying deadlines, or for multiple supervisors.
+ At least 1 year of office experience using word processing software to format a variety of business documents; OR recent word processing training coupled with at least 6 months’ experience performing word processing in a business office setting.
+ At least 1 year of office experience which required composing and editing a variety of business documents on a regular basis; OR successfully completed at least 1 college-level English composition or business English class AND have 6 months of experience composing business documents.
Below is preferred experience. It is not required for the position but applicants with this experience may receive consideration over other applicants.
+ Experience performing a wide variety of secretarial support functions; OR formal training consisting of successful completion of an 18-24 month office administration course of study beyond high school. This coursework should have resulted in an Associate (A.A.) degree or equivalent to be qualifying. Work experience should consist of performing a wide variety of administrative support functions as the predominant responsibility of the job, office work experience which required that I balance, coordinate, and set priorities for multiple projects with varying deadlines, or for multiple supervisors.Typically gained by one year of demonstrated work or educational experience.
+ Direct experience with responsibility for answering business phones, greeting visitors, AND screening callers for further access to staff.Typically gained by one year of demonstrated work or educational experience.
+ Experience gathering information from a variety of sources to collect and compile requested information and required that I have a good knowledge of services, operations, or programs.Typically gained by one year of demonstrated work experience.
+ Experience using word processing software to format a variety of business documents; OR recent word processing training coupled with at least 6 months’ experience performing word processing in a business office setting.Typically gained by six months of demonstrated work or educational experience.
+ Experience which required composing and editing a variety of business documents on a regular basis; OR successfully completed at least one college-level English composition or business English class.Typically gained by one year of office or educational experience.
