Job Purpose & Scope
This position provides high-level administrative, operational, and compliance support to mortgage leadership, while also assisting with procedure management, onboarding coordination, and audit readiness. This individual will work closely with the team and leadership to ensure smooth day-to-day operations across the department.
Essential Job Functions
+ Provide direct administrative support to leadership.
+ Assist in the coordination and documentation of the annual HUD audit, including tracking requirements, collecting necessary data, and compiling reports.
+ Work alongside the Support Champion to maintain, update, and organize internal procedures and process documentation.
+ Assist with new hire onboarding logistics, including ordering laptops, monitors, and other necessary equipment, and arranging travel and accommodation.
+ Help with general ledger (GL) and account reconciliation tasks, collaborating with accounting/finance as needed to ensure accurate financial tracking.
+ Monitor and review daily operational and compliance reports as assigned, flagging issues and escalating items when necessary.
+ Coordinate and schedule executive meetings, prepare agendas, take meeting notes, and follow up on action items.
+ Handle confidential and sensitive information with discretion and professionalism.
+ Track deadlines and ensure timely completion of compliance-related tasks and business initiatives.
+ Organize travel arrangements and expense reporting for leadership.
+ Maintain team calendars and assist in managing departmental communications.
+ Support the leadership team with special projects and cross-functional initiatives as needed.
+ Maintains good punctuality and attendance at work.
+ Performs general departmental tasks as assigned.
+ Follows all Bank policy, procedures, and guidelines.

Basic Qualifications
+ High school diploma or equivalent, required; some college level courses in business or related field preferred.
+ One year administrative work experience required.
+ Three (3) years of prior computer experience with Microsoft Word, Excel and PowerPoint required.
+ Basic accounting knowledge preferred.
+ Previous experience with mortgage lending and/or Encompass software preferred but not required.
