    Job Description

    Do you consider yourself a detail-oriented person? State Accounting Enterprise (SAE) is seeking a highly motivated team member able to focus on daily schedules and customer service. Responsibilities include various support tasks including demonstrating strong customer service skills.

    What You’ll Do

    As the first point of contact for the State Accounting Enterprise, you will manage the front desk and serve as the welcoming face and voice of the team. Your role will include:

     

    + Greeting visitors and assisting walk-in customers at the Hoover Building.

    + Answering, routing, and responding to incoming phone calls and emails with professionalism and efficiency.

    + Managing daily mail operations, including twice-daily pickup and drop-off from the Hoover mailroom, and adjusting priorities based on volume and time of year.

    + Assisting customers with building entry as needed.

    + Maintain adequate office supply inventory and coordinate with the Administrative Assistant for order fulfillment.

    + Receive and distribute supplies and deliveries across the unit.

    + Monitor and coordinate maintenance of office equipment including copiers, printers, and fax machines.

    + Support other administrative and accounting tasks as assigned.

    You’ll also play a key role in the document approval process by:

    + Reviewing and classifying incoming payment claims and accounting transactions.

    + Applying final approvals to a variety of financial documents such as internal transfers, expense/revenue corrections, and payment vouchers.

    + Identifying and prioritizing time-sensitive items to help the State meet critical deadlines and discount windows.

    + Preparing and processing items such as cancelled warrants and stop payments.

    Tools You’ll Use

    + Daily use of Microsoft Office, Google Suite, and the State’s ERP system.

    + 10-key keypad to assist in claim reconciliation.

    + File management systems for retrieving, organizing, and archiving accounting documents.

    What We’re Looking For

    + Sound understanding of accounting transactions including debits, credits, and the approval workflow.

    + Comfortable in working within an ERP system and understands electronic data processing applications.

    + Understanding of or can learn the State Accounting Policies and Procedures Manual.

    + Excellent attention to detail and the ability to stick to structured daily schedules.

    + Ability to provide a high level of customer service with a welcoming and helpful attitude.

    Minimum Qualification Requirements

     

    Graduation from high school or G.E.D. equivalency and two years of clerical accounting experience which involved the compilation, tabulation, examination, verification or recording of financial, statistical or related fiscal data using elementary bookkeeping principles and practices;

    OR

    the successful completion of a post-high school vocational/technical, business college, or area community college curriculum in accounting which included concentrated course work equivalent to twenty semester hours (or more) in accounting;

    OR

    an equivalent combination of education and experience, substituting one year of employment in clerical office work for each year of the required education;

    OR

    substituting the successful completion of thirty semester hours or the academic equivalent in a post high school Business, Accounting or closely related curriculum for each year of the required experience;

    OR

    any equivalent combination of qualifying education or experience;

    OR

    employees with currentcontinuous experience in the state executive branch that includes the equivalent of twelve months of full-time work as an Accounting Clerk 1 shall be considered as qualifying.
