About the Work Unit
The Executive Director's Office (EDO) is the backbone of the Colorado Department of Public Safety, providing effective administrative and management services to the Department's operating divisions. The EDO includes the following:
+ The Executive Director and Deputy Executive Director – Oversees strategic direction and operations for the department.
+ Administrative Services Office - Provides division and department-level administrative and support functions encompassing accounting, procurement, budget, and logistics services (fleet, facilities, warehousing, material management and fabrication) to support the operations and programs of CDPS divisions.
+ Human Resources Office - Supports recruitment, hiring, evaluation, benefits management, personnel actions, payroll and all other human resources functions.
+ Compliance and Risk Office – Develops policies, assesses and manages risk, and ensures compliance with state and federal requirements and professional standards.
+ Colorado Integrated Criminal Justice Information Systems – develops cost-effective information sharing services to provide access for criminal justice agencies while maintaining information security. CICJIS is a collaborative program designed to facilitate information sharing at key decision points in the criminal justice process. There are five participating CICJIS agencies: the Department of Corrections, Judicial, the Colorado District Attorney’s Council, the Division of Youth Corrections, and the Colorado Bureau of Investigation.
+ Office of School Safety – assists local schools and communities to create safe and positive school climates for pre-k through higher education schools in Colorado.

About the Job
The position's primary purpose is to serve as the executive assistant to the Department's Executive Director (ED), a member of the Governor's Cabinet, and the Deputy Executive Director (DED), performing all related administrative and office support functions required by these two positions. The EDO Executive Assistant is responsible for a variety of high-profile and critical duties, and must perform these in a fast-paced and politically sensitive environment. As the assistant to the ED and DED, the position serves as a primary departmental contact for both internal and external customers of the department. This position also provides some administrative support to other senior leaders in the EDO when available.
Key Responsibilities
Executive Assistant to the Executive Director and Deputy Executive Director.
This position's primary role is to provide staff assistance and administrative support for the Executive Director (ED) and Deputy Executive Director (DED).
+ Coordinates and maintains executive schedules/calendars
+ Applies problem solving, knowledge and management skills to schedule meetings involving others (internal and external to the department) so as to appropriately prioritize the ED's time. Identifies when the ED or DED must be in attendance, versus having a surrogate attend a meeting. Remains flexible and agile in a dynamic and ever changing environment.
+ Resolves schedule conflicts, independently working to anticipate changes, or adjust for and advise all affected by emergency schedule changes.
+ Handles travel arrangements for ED and DED
+ Prepares Out of State travel requests (OSTR); tracks payments and reimbursements. Processes and maintains a database of all OSTRs (all require ED or DED authorization).
+ Participates in planning and organization of conferences, department events, forums, and executive staff meetings and retreats.
+ Serves as the "front office contact” and is responsible for coordinating with Executive Assistants from other divisions, from the Governor's Office, other Departments (including Cabinet Members/Executive Directors), and other elected officials and agency executives.
+ Keeps confidential all sensitive matters that are handled within the EDO.
+ Prepares correspondence for the ED and DED. On behalf of the ED and DED, reviews, routes and suggests disposition for incoming mail and email and other correspondence.
+ Organize and triages ED’s email, as needed.
Executive Office Support
This position coordinates with other EDO program assistants (PAs) to provide general support to the Executive Director's office staff.
+ Monitors supplies and placing orders as needed
+ Schedules meeting rooms
+ Attends and takes notes at meetings as requested by the ED and DED
+ Supports other administrative staff employees with Colorado financial system (CORE) entries or other process navigation as needed.
Executive Director's Office Financial Services Support
Performs several key financial functions for and within EDO.
+ Prepares expense reports.
+ Examines, codes and processes all related documents using CORE, and other financial systems.
+ Manages budgetary items and ensures timely payment of invoices and expenses for the ED and DED's budgets and for other members of the EDO management team, as requested.
+ Allocates major purchases.
+ Prepares necessary approvals and forms for goods and services.
+ Provides financial assistance to special programs, such as the Leadership Strategies Institute, as requested.

A minimum of five (5) years in executive support, preferably at the C-suite level, individuals or a team. Expertise in MS Office software applications (i.e., Word, Excel).
