The Director, Special Projects and Executive Administration, Office of the Senior Vice President (OSVP) is responsible for providing strategic project leadership, change management support, and overseeing the the team that provides administrative day-to-day support for the Senior Vice President & Chief Philanthropy Officer (SVP) and the Deputy Chief Philanthropy Officer (DCPO) of the Division of Philanthropy enabling Institute and Division-wide goal attainment. This role is also responsible for leading the coordination of activities, operations, and planning to ensure the timely flow of information between the Office of the Senior Vice President, Division of Philanthropy and the Offices of the President and President Emerita at Dana-Farber Cancer Institute. The position handles details of a highly confidential and critical nature and must function efficiently and effectively in a fast-paced environment. The Director, Special Projects and Executive Administration is required to independently manage multiple projects and tasks with competing priorities and deadlines, screen and prioritize communications and opportunities from external and internal sources, and organize, evolve, and maintain administrative processes. As a member of the Philanthropy Leadership Team, the Director is responsible for assisting the entire Division with reaching goals and reports to the Senior Vice President and Chief Philanthropy Officer leading the Division of Philanthropy.
The onboarding of this role will include a comprehensive training process which includes completion of online modules, shadowing colleagues, as well as hands-on learning experiences.

This position is considered hybrid, 2-3 days onsite at 10 Brookline Place, Brookline, MA each week. DFCI guidelines state that employees must reside in New England: Connecticut, Maine, Massachusetts, New Hampshire, Rhode Island, or Vermont.

+ Lead the efforts to support the SVP and DCPO with strategic project and change management as it relates to critical and time sensitive Dana-Farber and Division of Philanthropy priorities and initiatives (e.g., Future Cancer Hospital, Strategic Growth Plan, etc.);
+ Supervise executive administrative (OSVP) team including the Executive Assistant II and the Senior Administrative Specialist, Donor Management;
+ Establish and lead time-sensitive project plans and working groups to advance Institute and Division-wide goals and projects including Division-Wide Culture and Belonging project management;
+ Support strategies that engage and leverage the SVP as a primary proposal driver and point of contact for donor introductions, cultivation, solicitations, and stewardship opportunities;
+ Create and streamline opportunities and systems for the SVP to collaborate across the Division to advance relationships and gift opportunities;
+ Act as a strategic point of contact and liaison between the OSVP in the Division of Philanthropy and the Office of President;
+ Support and monitor strategies to engage and leverage Dana-Farber's President and CEO and President Emerita in Philanthropy events and donor introductions, cultivation, solicitations, and stewardship opportunities;
+ Collaborate with the Strategy & Improvement team under the leadership of the DCPO on critical projects that enable the Division of Philanthropy’s goal attainment;
+ Partner with the DCPO on meeting and retreat planning and drive execution for the Senior Management Group and Philanthropy Leadership Team;
+ Oversee the OSVP communications strategy and planning, coordinate across the Division to support Executive Communications for the President and CEO and President Emerita;
+ Lead meetings and communicate on behalf of SVP and DCPO across the Division to ensure clear and consistent expectations and access to resources as it relates to collaborating with the OSVP.
SUPERVISORY RESPONSIBILITIES:
Serves as the direct supervisor and provides consistent supervision to a team of philanthropy professionals (currently an Executive Assistant II and a Senior Administrative Specialist, Donor Engagement) within the Office of the Senior Vice President. Independent decision-making must be used in making meeting arrangements and supporting organizational systems and in engaging with the Office of the President and other high-level leaders and volunteer interaction.
High school diploma or equivalency required; Bachelor’s degree preferred. 8+ years’ relevant work experience including past work creating and implementing project plans, working at the leadership level, and managing a team preferred. A high degree of confidentiality must always be exercised.
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:
+ Significant computer skills including but not limited to all Microsoft Office Suite products, including mastery of Excel and PowerPoint, Microsoft Teams, and Microsoft Outlook.
+ Proficiency in online research to retrieve and provide various information is necessary.
+ Must be able to handle all situations and documentation in a highly confidential and professional manner.
+ Must have the ability to exercise good judgment and be comfortable and confident working with senior Institute and Philanthropy leaders.
+ Ability to own projects, including new projects with no roadmap, from start to finish.
+ Excellent written and verbal communications skills.
+ Strong orientation to customer service and donor relations.
+ Superior organizational and project management skills includingability to manage a multitude of projects and deadlines.
+ Positive and self-starting attitude.
This position will be expected to communicate with donors and a variety of constituents, vendors, and other individuals and representatives. The dynamic nature of the role requires resourcefulness, flexibility and innovative problem solving.
WORKING CONDITIONS:
This position is considered hybrid, 2-3 days in the office at 10 Brookline Place, Brookline, MA each week. Evening work (attendance at events, meetings) may be required.
