VISION FOR POSITION
The Lead Operations Associate is a committed member of a school team that is closing the opportunity gap. The Lead Operations Associate acts as the team lead for the front office and the first point of contact for our families and scholars. They create an inclusive and welcoming environment for our parents and scholars. Their work enhances key operational functions of the job impacting both families and staff. CORE RESPONSIBILITIES
+ Serve as the senior member of the school's front-line operations team, leading daily execution of core functions such as front office management, attendance, transportation, food service, and the health office.
+ Coordinate and support front-line operations staff, providing guidance, coaching, and accountability to ensure high-quality service and smooth school operations.
+ Lead team huddles, manage task delegation, and model operational excellence to drive a culture of efficiency, responsiveness, and family-centered service.
+ Play a central role in implementing school safety procedures and emergency response plans as a lead member of the school's safety team.
+ Coordinate and direct all areas of school operations including but not limited to:
+ Assist with attendance, absence and tardy tracking; enter information into PowerSchool.
+ Answer phones, greet and direct visitors, take and relay messages; provide routine information to students, parents or guardians.
+ Provide a welcoming environment for our families and visitors.
+ Assist with parent and staff communication.
+ Maintain student information systems to accurately reflect updated contact information for families.
+ Perform a variety of clerical activities, including preparing routine correspondence, sorting and filing of records, documents, mail and other material.
+ Provide quality customer service for incoming and current families regarding the registration process, intent to return, and family engagement events.
+ Perform related duties as assigned.
REQUIRED QUALIFICATIONS
+ An Associate's degree or higher. Bachelor's degree preferred.
+ 1 to 2 years of experience working in a fast-paced office or educational environment, working with students, parents, and the community.
+ Experience in executing complex project logistics with a track record of strong results.
+ Strong attention to detail and desire to provide high-quality service.
DESIRED QUALIFICATIONS
+ Second language strongly preferred: Spanish, Karen, or Kayah
+ Experience working in operations within a school environment
+ Experience working with children
KNOWLEDGE & SKILLS
+ Outstanding attention to detail and willingness to get the job done
+ Excellent strategic, organizational, planning, and implementation skills
+ Ability to communicate and interact effectively with multiple stakeholders
+ Able to multi-task and work in a fast-paced entrepreneurial environment
+ Competency in MS Office and Google Suite
+ Excel and Google Sheets experience preferred
+ Contemporary office practices, preferably in a public sector or K-12 environment.
+ Attendance and enrollment policies and procedures. Record keeping, filing, electronic document filing, and retrieval.
+ Develop and maintain productive working relationships with school site staff, parents or guardians, and district staff.
+ Professional telephone and e-mail etiquette.
+ Meet schedules and timelines.
+ Work collaboratively with others.
