    Job Title: Payroll Specialist/Accounts Receivable

     

    Reports To: Director of Business Affairs

    Basic Function: To provide primary responsibility for ensuring staff are paid correctly and compliantly. Process payroll, maintain time keeping records, review payroll and payroll reports for accuracy, and maintain accurate deductions and tax filings. To assist in the management of the district’s business functions and accounting records with efficiency, accuracy, and transparency.

    Essential Functions:

    Performance Responsibilities:

    + Processes payroll semi-monthly and monthly including wage and overtime payments, calculations and recording of payroll deductions

    + Verifies timekeeping records, enters and maintains time and attendance records using electronic time management system.

    + Reviews payroll before finalizing to ensure accuracy.

    + Prepares and transmits direct deposits.

    + Generates and verifies payroll reports out of the payroll system.

    + Prepares periodic reports of earnings, taxes and deductions.

    + Reconciles quarter-end and year-end reports.

    + Balance and review insurance invoices for adjustments/corrections. Enters new and/or changes to benefits into the payroll system.

    + Enters and maintains employee database file information

    + Verifies and reconciles W2s and 1095s prior to issuance

    + Maintains direct deposit documentation, pre-note processes and system data

    + Sets up garnishments and levies, completes Employment Verifications, processes off-cycle manual checks and termination pay checks.

    + Trains employees and managers on use of the time keeping system

    + Maintains notification processes to employees and supervisors, resolves employee access issues and other questions in a timely manner .

    + Documents and updates written payroll procedures.

    + Maintains payroll documentation and files.

    + Provide daily customer service to staff.

    + Provide back up coverage of district office phone lines and front desk, as needed.

    + Assumes such other duties and responsibilities as assigned.

     

    Specifications/Qualifications: 1.Two or four year degree (including accounting classes)

     

    + Computer skills (Google, Excel, Infinite Campus, Word, Office)

    + Strong problem solving, interpersonal, and communication skills

    + Good customer service skills

    + Technology operation (copier, fax, printers, badge printers, etc)

     

    Working Conditions: 1. This is a desk based position.

     

    2. Hazards include stairs and communicable diseases.
