    Position Summary:

    Florida Atlantic University is seeking a Data Management Specialist, Advancement Services - Boca Raton, FL.

     

    The Data Management Specialist, Advancement Services, plays a key role on the Advancement Services team, supporting the maintenance, enhancement, and strategic use of the donor database to advance the institution’s fundraising and engagement goals. This position ensures the accuracy and integrity of donor and alumni data to support identification, cultivation, solicitation, and stewardship efforts. This position collaborates closely with colleagues across the Foundation, Prospect Research, and Institutional Advancement teams and reports to the Associate Director of Advancement Services, Information and Strategic Analytics. By maintaining reliable data systems and supporting cross-functional initiatives, the Data Management Specialist helps drive informed decision-making and contributes to the overall effectiveness of the advancement operation.

    Donor Record and Biographical Management:

    + Create and maintain constituent records in Raiser's Edge.

    + Execute biographical updates, as requested, through Team Dynamics or other intake methods.

    + Assist with ensuring clean, accurate, and up-to-date constituent data for reporting and engagement purposes.

    Foundational Data and Integrity Support:

    + Assistant in regular data clean-up projects and audits under the direction of the Associate Director.

    + Assistant in monitoring and verifying the accuracy of table configurations and field settings in Raiser’s Edge.

    + Operating basic queries or exports to support data validation

    Gift Processing:

    + Process daily contributions received from various sources into Raiser’s Edge.

    + Analyze all gifts for proper processing, payments, reconciling, and balancing gift batches.

    + Create the biweekly EIB Payroll report for new payroll deductions and process biweekly contributions received from Florida Atlantic payroll deductions.

    + Process contributions received from specialized sources, including but not limited to GiveCampus, Mobile Pay and HiveBrite.

    + Process bi-monthly pledge and recurring gift credit card contributions.

    Gift Receipting/Invoicing:

    + Manage the process of generating and dispersing donation tax receipts in accordance with IRS guidelines.

    + Complete duplicate tax receipt requests and cumulative tax receipt requests.

    + Monitor, manage, and generate monthly pledge reminders for donors to ensure timely and accurate communication regarding outstanding commitments.

    + Initiate and coordinate the pledge write-off process, collaborating with Advancement leadership to review and document unfulfilled pledges in accordance with organizational policies.

    •Cross-Functional Support:

    + Serve as a resource for donor inquiries, providing professional and timely responses and escalating as needed.

    + Support special projects, events, or campaigns coordinated by the Advancement Services or Development team.

    + Work collaboratively with internal partners to maintain a positive donor experience through accurate and timely data services.

    + Perform other job-related duties as required.

    Minimum Qualifications:

    Master's degree from an accredited institution in an appropriate area of specialization; or a bachelor's degree from an accredited institution in an appropriate area of specialization and two years of appropriate experience.

    Preferred Qualifications/Skills:

    One to two years of related work experience.

     

    Knowledge of Raiser's Edge.

     

    Knowledge of Microsoft Office.

    Salary:

    $48,000 - $50,000 per year.
