Description
We are looking for a detail-oriented Administrative Assistant to join our team in East Syracuse, New York. This long term contract position supports the implementation of outreach strategies by coordinating events and training sessions, cultivating partnerships, and communicating effectively with community stakeholders. It also involves managing outreach-related administrative responsibilities such as scheduling, data tracking, and support for coalition and internal initiatives.
Responsibilities:
• Field and coordinate requests for outreach and training from community groups and individuals
• Represent the agency at community events, workshops, and resource fairs with professionalism, enthusiasm, and cultural sensitivity
• Collaborate with the team to design, order, and distribute outreach materials and assist in implementing media strategies for job postings, program promotion, and volunteer recruitment
• Develop and maintain relationships with community organizations, agencies, and leaders to foster collaboration and support for agency initiatives
• Handle administrative tasks related to agency outreach and division operations, including responding to emails, managing schedules, and maintaining organized records
• Assist with the planning and execution of staff and volunteer recognition events.
• Act as a liaison between the agency and community stakeholders, ensuring clear communication and support
• Track all media requests, media appearances, outreach events & community training being delivered.
• Email media coverage (links, articles, recordings) to staff, board of directors, marketing consultants.
• Promote events on social media with links if relevant.
• Attend required staff meetings and participate in agency-provided training, workshops, and continuing education
• Perform additional duties and responsibilities as they develop and are assigned, adapting to the evolving needs of the agency and the community.
Requirements
High school diploma required; Associates strongly preferred
At least one year experience in community outreach, education, or related field
