    The University of Miami/UHealth Department of SCCC has an exciting opportunity for a Full Time Sr. Project Coordinator to work at the UHealth medical campus in Miami, Fl.

    CORE JOB SUMMARY

    The Sr. Project Coordinator coordinates project activities to ensure projects are on schedule. This role provides administrative and logistical support including meeting arrangement, progress tracking, and documentation. In addition, this job also prepares comprehensive action plans that detail available resources, timeframes and budgets for projects.

    CORE JOB FUNCTIONS

    + Assists with the assignment of tasks to internal teams to include schedule management.

    + Assists with budget preparation and tracks all project related expenditures.

    + Monitors project progress and addresses any issues that arise.

    + Assists with the identification of completion shortfalls.

    + Acts as the point of contact and communicates project status to relevant stakeholders.

    + Communicates timeline changes and new information to project team.

    + Creates and maintains comprehensive project documentation, plans and reports.

    + Ensures all needed documentation is current and properly filed and stored.

    + Ensures adherence to standards and requirements by reviewing project objectives against deliverables.

    + Organizes, attends and participates in project meetings.

    + Prepares necessary presentation materials for project meetings. Records minutes and takes detailed notes during meetings.

    + Evaluates current procedures and recommends changes to improve the efficiency of planning and scheduling of projects.

    + Adheres to University and unit-level policy and procedures and safeguards University assets.

    CORE QUALIFICATIONS

    Education:

    High school diploma or equivalent

    Experience:

    Minimum 3 years of relevant experience

    Knowledge, Skills and Attitudes:

    + Ability to work independently and/or in a collaborative environment.

    + Ability to accurately prepare and maintain records, files, reports and correspondence.

    + Proficiency in computer software (i.e. Microsoft Office).

     

    Department Specific Functions

    RESEARCH PROGRAMS

    Execute administrative management of the research programs. Specific duties include, but not limited to, the planning and execution of special projects, maintaining timelines/check lists, scheduling meetings, and developing program status portfolios.

    As Sylvester Comprehensive Cancer Center membership expert, analyze, identify and recommend to respective work teams any potential:

    Junior Faculty candidates to enroll in mentee program

     

    Junior Faculty candidates to apply for intramural funding opportunities

     

    Lead coordination and execution of over 80 program meetings per year involving faculty and Sylvester Program Leaders: Select catering order, AV requirements, and arrange meeting space with UM facilities. Collect and organize data/power point slides that will need to be presented at meetings. Notify each participant of the upcoming meetings, agenda, and location. Maintain electronic storage of information on meetings, including meeting announcements, attendance roster, hand-outs, and minutes. This position will also provide follow through on all meeting outcomes. Coordinate external speaker seminars including all travel logistics, seminar promotions and announcements, and agenda creation. Coordinate research program trainee activities including colloquiums, trainee seminars and journal clubs.

     

    Develop reports and presentation materials (coordination of information gathering and development of drafts for program leaders’ review and approval): Program write up and review Quarterly Publications Report Core Grant submission Financial reports

     

    Will work with the Manager to assist the Research Program Leaders to prepare for External Reviews and Advisory Boards. These reviews are critical for the successful development of all the Programs. The Reviews require coordination with the Program Leaders to prepare the pre-meeting materials and presentations. Once the critique of the Research Program is received, this position is responsible for working with the Program Leader to implement the Reviewer’s recommendations and tracking the progress.

     

    Assist Manager with the coordination and execution of the Research Program Pilot Awards. This includes creating, distributing, and collecting applications, setting up grant review committees and distributing award and rejection letters.

    SYLVESTER MEMBERSHIP

    This position will handle operations of the Sylvester Membership process. This includes providing the Membership application to interested faculty, analyzing the application, and vetting the application through the Membership Committee. This position will be expected to meet with faculty to discuss the Membership policy and the benefits Membership offers to Research and Clinical faculty.

     

    Lead Sylvester Membership database efficiency project to improve database output; analyze reporting databases and recommend system configurations, design and modifications to the structure of the databases used by the Research Administration team; liaise with Informatics team on reporting requirements. This includes participation in regular design meetings where change recommendations are presented and shared with the rest of the group.

     

    Responsible for entering all new/updated members’ information (credentials, research description, etc.) into the Membership Administration System (MAS) and the Sylvester.org website, including data integrity.

     

    Responsible for tracking and entering Cancer Center Activities Participation into MAS which is reflected in Productivity Reports reviewed by Sylvester leadership for various decision making purposes. The information that is tracked includes Research Program Meeting attendance, Committee memberships, Sylvester Retreat attendance, internal collaborations, and special Scientific Seminar attendance. The Productivity Reports are utilized when allocating laboratory space, awarding additional research funding, and monitoring the progress that members have made since the commencement of their membership to Sylvester.

     

    Primary point of contact for all Membership inquiries. Responsible for disseminating the current Membership roster to all stakeholders, and providing the status of applicants to the Committee and the Director.

     

    Assist with the coordination of the Annual Membership Review. Currently, Sylvester has 307 members that need to be reviewed on an annual basis to ensure all members adhere to the Membership policy. This project entails for the position to:

     

    Annually obtain updated research descriptions from Cancer Center members for use during the programmatic review

     

    Generate and analyze data such as cancer related funding reports, clinical trials accruals, cancer-related high impact publications, and level of activity participation for each member

     

    Propose recommendations regarding membership changes/updates

     

    This data is then presented to the Membership Committee, comprised of 7 senior faculty members
