The Fleet Specialist primary responsibilities include purchasing and maintaining vehicles for operation, registering and licensing vehicles and finding ways to cut costs and maximize profits.
Seeking Fleet Specialist to Join the Fleet Maintenance Department at Beacon Mobility. Candidate is responsible for administration and data management of the Companies Fleet Management Information System (FMIS), concentrating in the areas of asset management, preventive and predictive maintenance scheduling, data mining activities, and data analysis to provide statistics on database and maintenance work efforts. This position may be based in Wilbraham.
This position reports to work Mon-Fri, hours flexible between 6:00 am – 6:00 pm.
Job Responsibilities
• Preparing and reviewing database statistics and status reports for accuracy, completeness and adherence to user requests, and ensuring information meets DFMS quality, currency, and accuracy standards.
• Responsible for input, maintenance, and reconciliation for Beacon mobility fleet assets in the FMIS system.
• Works in collaboration with the Fleet Asset Manager to develop guidelines and procedures to capture motor vehicle & equipment information necessary to make critical fleet management decisions.
• Prepares statistics and analysis of all database records for Beacon Mobility performed work, and supporting data for satisfactory and/or non-satisfactory application of Beacon FMIS standards. Incumbent may recommend industry best practices, alternate methodology, or any other consideration that may improve data collection efforts, improve the quality, currency, and accuracy of the data, or utilization of FMIS or other automation systems
• Works cooperatively with Fleet Asset Manager, Regional Director of Maintenance, and superintendents to monitor the scheduling of vehicle and equipment for periodic maintenance.
• Performs asset file maintenance and reconciliation to ensure accuracy of FMIS asset information. Additionally, Reconcile FMIS asset information against ERP asset management database for accuracy.
• Maintains program and administrative reference materials, project files and relevant background documents and makes available policies, procedures and written instructions from the Fleet Asset Manager maintains current knowledge to answer questions from team members on procedures, policies, directives, etc
• Coordinate with the Fleet Asset Manager for all motor vehicle and equipment disposals. Process all disposals paperwork through appropriate auction processes.
• Prepares reports and maintain records of work accomplishments and administrative information, as required, and coordinates the preparation, presentation and communication of work-related information to the Fleet Asset Manager
• Recommends changes to current FMIS work practices, processes, and procedures as necessary to make improvements
• Researches, learns and applies a wide range of qualitative and/or quantitative methods to identify, assess, analyze and improve FMIS effectiveness, efficiency, and work products
• Creates an atmosphere of partnership with customers properly reflecting organizational policies and procedures. Interacts with coworkers as well as internal and external customers in a professional manner.
Qualifications
• 1-3 years of experience in the transportation / fleet industry
• Prior experience with Fleet Management Information systems (FMIS)
• Advanced PC Skills - MS Office with an emphasis on Excel. Ability to quickly learn and adapt to new technology (Comdata, NetSuite, etc).
• Strong administrative and organizational skills
• Strong interpersonal skills obtaining buy-in and reaching consensus through collaborative efforts.
• Respond to correspondence (phone, email, etc.) with a high degree of accuracy and timeliness
• Customer oriented with excellent verbal and written communication skills.
• Perform other duties as requested by supervisor
