Job Description:
The Surgical Scheduling Specialist performs general administrative clerical duties including registering patients for the front desk of the ambulatory clinic setting, often in a Specialty Clinic. This role is responsible for various clerical duties and administrative/business details such as scheduling appointments, managing incoming phone calls, and accurately checking in and checking out patients in accordance with standard work and procedure.
In addition to the basic clerical duties, the Surgical Scheduling Specialist performs Surgical and procedural scheduling in the ambulatory Specialty clinics. Additional responsibilities may also include surgical and procedural prior authorizations.
Education
+ Current CMA certification
+ High school diploma or equivalency (GED)
+ Associate degree in healthcare administration or equivalent college coursework preferred.
Experience
+ Previous Medical Office experience preferred.

Check In Core Skills
+ EPIC complete registration to include:
+ Update or verify complete patient demographics
+ Eligibility and scan of correct insurance cards
+ If SELFPAY- offer Standard SPN Sliding Fee application and have acknowledgment signed – Primary Care ONLY
+ ESign consent for treatment and insurance authorization if due
+ Patient appointment arrival using all pertinent standard work
+ Patient reminder calls, daily review and actions for cancels and/ or request to reschedule as well as live calls as assigned for appointment reminders with a goal to decrease unused appointments slots daily.
+ Phone Assistance-
+ Greet / Answer phone calls with kind courtesy tone
+ Assist patient with scheduling, reschedule etc. appointments
+ Create Inbox messages as needed to assist patients
+ Refill request for medications etc.
+ Be competent on identifying RED words.
+ Appointment Scheduling for Walk ins
+ Generate No Show letters through Epic
Check Out Core Skills
+ Schedule follow up appointments, referrals, and ancillary services as directed by Epic provider orders
+ Return phone messages and assist patients
+ Distribute land line faxes as needed to appropriate clerical and clinical teammates
+ Complete appropriate referral work ques
+ Ensure patient receives AVS (after visit summary) and education as needed
+ Complete work notes as directed by provider
Other Core Duties
+ Collects copays and coinsurance as applicable at Check out or Check in.
+ Completes standard work for daily deposit and reconciliation.
+ Manage ON Base Patient Documentation Application
+ Transcribe orders/Enter Referral Orders
+ Schedules Incoming referrals by practice protocols.
+ Completes Prior Authorizations as required.
+ Completes Surgical and Procedural Scheduling in appropriate locations, often the Specialty Ambulatory Practices.
+ Completes Surgical and Procedure Prior Authorizations
+ Completes Referral Work Que Management for outgoing referrals per Standard Work.
+ Distributes Patient Information and Directional handouts for Scheduled Surgeries and Procedures.
+ Releases OR block times as required for blocks not being utilized due to Vacations, PTO, etc.
Informs patients of Surgical Benefits and Copays.
