The Department of Physics invites applications for a Visa and Research Faculty Operations Professional! This role supports HR operations with a focus on international scholar services and research faculty employment processes.
This position will report to the Physics Faculty Liaison and HR Manager, Department HR Manager." Under the direction of the Department HR Manager, the incumbent is responsible for the employee life cycle for all Physics faculty, staff, and student employees: recruitment, hiring, onboarding, and offboarding, while ensuring compliance with Department, University, State, and Federal policies and procedures. Additionally, the role will provide support with payroll operations, HR data analytics, and presentation development, as well as performing special duties and projects as assigned. This position plays a vital role in facilitating smooth and consistent employment experience for international employees and research personnel.

What Your Key Responsibilities Will Be
_International Scholar & Immigration Coordination:_
_With minimum supervision from the Department HR Manager::_
+ Liaise and Partner with ISSS and Key Campus Partners and Stakeholders to coordinate with all Department of Physics International Scholars, Faculty, Research Faculty, Staff, and Students on all immigration matters.
+ Be the primary department liaison to International Student & Scholar Services (ISSS) and serve as a resource for international faculty, staff, students and researchers.
+ Coordinate employment-based visa processes (e.g., H-1B, J-1, OPT/STEM OPT).
+ Track visa expiration and renewal timelines, initiate paperwork well in advance, and ensure compliance with college, department, campus, state and federal regulations.
+ Work independently with partners to collect, review, and submit required documentation to ISSS accurately and on time.
+ Maintain secure records for all international appointments, ensuring data confidentiality and accuracy.
_Faculty, Staff and Student Employee Lifecycle:_
_The incumbent will work at the direction of the Department HR Manager. Incumbent is expected to work independently, with minimal review of work product on the following duties:_
+ Serve as the primary contact for Principal Investigator's (PIs)/Faculty, employee candidates, and new and existing research faculty throughout their employment lifecycle.
+ Coordinate the hiring process for staff, research faculty, and student employees, including job postings, tracking within Avature and other CU systems, offer letters and addendums, and other HR processes.
+ Process personnel actions for research faculty employees for approval by Faculty/PIs, Department HR Manager, and campus Research Faculty HR, making sure records are up to date and accurate.
+ Facilitate the completion and submission of research faculty, POIs, and research affiliate hires, and collaborate with the HR Service Center and campus Research Faculty to ensure personnel actions are current and accurately reflected in campus HR systems.
+ Provide administrative assistance with the annual performance and merit evaluation process for Research Faculty
+ Assist in the creation of department onboarding programs for new employees.
+ Support onboarding plans for new hires and provide training on HR systems and timekeeping procedures as needed.
+ Maintain research faculty personnel files and update internal email lists and data systems.
_Payroll Support:_
+ Work with employees and supervisors to ensure submission of leaves and timesheets in CU's time reporting system is accurate and problems are addressed.
+ Review payroll suspense account and work directly with the Research Operations Manager to monitor outstanding salaries in suspense.
+ Review monthly payroll register for accuracy and completeness.
+ Process Payroll Expense Transfers as needed.
+ Process additional pay forms and other forms as necessary.
+ Revise/implement Department payroll procedures as new requirements are mandated by the University and/or College of Arts & Sciences.
_Other/Special Projects:_
+ Perform duties and special projects as assigned.
+ Maintain and update Department organizational charts.
+ Provide occasional backup support for undergraduate and graduate student employment processes.
What You Should Know
This position will be working in a hybrid work modality with an anticipated work schedule of Monday - Friday, 8:30am - 5:00pm.
What We Can Offer
The salary range for this position is $54,100 - $60,000 annually.

What We Require
+ Bachelor's degree or equivalent combination of education and experience may be substituted on a year for year basis.
+ 1 year of experience in human resources, business administration, operations, higher education, or related administrative work.
