    This role is with DSplus - a Saatchi & Saatchi company. DSplus was created around the idea of a “Digital Salesperson” who leads a customer through the entire lifecycle of their automobile ownership journey. Our clients are Toyota Motor North America, and Toyota & Lexus Dealerships across the country. DSplus is also proud to be an Agency of Record for Southeast Toyota Distributors, the world's largest independent distributor of Toyotas.

     

    Saatchi & Saatchi currently maintains a hybrid work policy to work in-office three days per week and remotely the other two days each week.

     

    Overview

     

    Seeking a highly organized and proactive full time Executive Assistant supporting senior leadership in a fast-paced advertising environment. Skilled in managing complex calendars, coordinating travel and meetings, preparing presentations, and handling confidential information with discretion. Serves as a key point of contact across internal teams and external clients, helping to streamline operations and ensure leaders stay focused on strategic priorities. Brings strong communication skills, attention to detail, and a deep understanding of the dynamic nature of the advertising world.

    Responsibilities

    Administrative Support

    + Manage and prioritize Senior Leadership’s calendar.

    + Schedule meetings, appointments, and travel arrangements.

    + Handle correspondence, internal/external emails, and meeting invites.

    + Collaborate with other Executive Assistants for internal and client meetings.

    + Organize and maintain digital documents.

    + Handle all expense reports, car logs, and timesheets.

    + Manage the department budget, purchase orders, and invoices.

    + Maintain the corporate apartment, monthly rent, and utilities.

    Project Management

    + Support the President and other Senior Leaders in all daily duties and understand key priorities.

    + Assist in planning and execution on special projects.

    + Track progress on various projects, ensuring deadlines are met and deliverables are achieved.

    Communication & Coordination

    + Act as a liaison between Senior Leaders and other executives, employees, clients, and stakeholders.

    + Coordinate and facilitate meetings, including preparing agendas, taking meeting notes, and following up on action items.

    + Ensure clear and consistent communication across the organization.

    Travel and Event Planning

    + Arrange domestic and international travel, itineraries, including flights, accommodations, dining reservations, and ground transportation.

    + Plan and coordinate client meetings, offsites, and conferences.

     

    Other duties as assigned.

    Qualifications

    + 5+ years of administrative experience in a fast-paced environment, 3+ of those years supporting executives.

    + Excellent organization, problem-solving, time-management and prioritization skills.

    + Outstanding written and verbal communication, as well as listening skills.

    + Strong team-player attitude; needs to work well under pressure and be adaptable in the face of changing priorities.

    + Experienced with Outlook, Teams, PowerPoint, Google Suite, Altair, Concur, and Adobe

    + High degree of discretion and integrity, when taking care of confidential information.

    + Strong problem-solving skills and attention to detail.

    + High level of professionalism and interpersonal skills.

    Compensation Range: $59,850.00 - $82,740.00 annually. This is the pay range the Company believes it will pay for this position at the time of this posting. Consistent with applicable law, compensation will be determined based on the skills, qualifications, and experience of the applicant along with the requirements of the position, and the Company reserves the right to modify this pay range at any time. Temporary roles may be eligible to participate in our freelancer/temporary employee medical plan through a third-party benefits administration system once certain criteria have been met. Temporary roles may also qualify for participation in our 401(k) plan after eligibility criteria have been met. For regular roles, the Company will offer medical coverage, dental, vision, disability, 401k, and paid time off.
