    What We Want

     

    The Graduate and Professional School is seeking a highly motivated and detail-oriented professional to serve as the Graduate Student Specialist IV (Fellowship Coordinator). This position is responsible for the strategic oversight and coordination of graduate-level fellowships and awards facilitated by the Graduate and Professional School, while also serving as a key resource for directing students, faculty, and staff to appropriate university services. The ideal candidate will demonstrate exceptional organizational and communication skills, a strong understanding of graduate education, and the ability to manage projects, support staff, and enhance administrative processes. This role may also include the supervision of student employees. A commitment to student success, collaborative problem-solving, and continuous improvement is essential.

     

    What You Need to Know

     

    Salary Range: $59,895.00 - $65,884.50 (Based on selected hire’s qualifications)

    Other Factors: Must be able to work occasional weekends and evenings, including participation in university commencement ceremonies.

    Qualifications

    Required Education and Experience

    + Bachelor’s degree or equivalent combination of education and experience

    + 5 years of related experience

    Preferred Qualifications

    + Six years of related experience

    + Experience in Higher Education

    + Experience with student information system s . Familiarity with Texas A&M academic procedures, policies, and rules

    + Knowledge and understanding of FERPA

    + Ability to comply with Texas A&M, System, State and Federal laws, regulations, rules and policies

    + Training presentation and delivery skills

    + Customer service skills

    + Ability to work in a high stress environment

    + Ability to work independently.

    Knowledge, Skills, and Abilities

    + Proficient in word processing Adobe Acrobat Professional, and spreadsheet applications

    + Knowledge of higher education

    + Ability to multitask and work cooperatively with others

    + Strong interpersonal and organizational skills

    + Strong verbal and written communication skills

    + Ability to interact with students, faculty, and staff positively and professionally.

    Responsibilities

    Graduate Student Services and Customer Support

    + Manages guidance to students, staff, and faculty on the basics of Grad School facilitated fellowship and award requirements and directs or refers appropriately, customers with procedural concerns.

    + Manages and provides detailed guidance to graduate student fellows on matters related to the disbursement terms of their individual fellowships and awards and fellowship/assistantship transitions.

    + Performs other duties as assigned.

    Processing Documents and Reports

    + Processes official University graduate student documents related to a student’s matriculation through a graduate program, funding, fellowships, and other requests.

    + Processes and exports needed reports for review of data and research.

    + Serves as the Grad School Scholarship Administrator responsible for posting approximately $10 million in annual fellowship/scholarship/award and tuition and fee payments.

    + Serves as the Alternate Coordinating Official for the NSF Graduate Research Fellowship Program (GRFP) under the direction of the Associate Provost and Dean of the Graduate and Professional School.

    Communications

    + Manages communications with students, staff, and faculty in areas involving graduate student fellowships and awards.

    + Contributes to the development and maintenance of fellowship and award content on the Grad School website and the Grad School monthly eNewsletter .

    + Serves as liaison with and maintains positive effective working relationships with campus divisions including Scholarships and Financial Aid, Benefit Services, International Student Services, Tax and Compliance, Academic Accounting & Business Services, and Student Business Services.

    + Collaborates with other team members to support graduate student recruitment and efforts to enhance graduate school programs.

    • Business Process and Procedure

    + Collaborates with Grad School staff and leadership in the nomination and selection process for Grad School facilitated fellowships such as Avilés-Johnson, Dissertation, F 3, IDP Merit, and Pathways.

    + Manages retention of graduate student fellowship records including fellowship/grant type, contact information, financial information, start and end dates, deferrals, reinstatements, and any individual awardee notes regarding special circumstances .

    + Provides management/functional assistance to Grad Staff on business procedures and University systems used for financial award posting.

    + This position supports training and development of new team members and serves as a backup for responsibilities including processing reimbursements for research and presentation grant awards, requests for non-resident tuition waivers, and tracking GREAT Program supplements.

    Training and Workshops

    + Provides management/functional assistance with efforts coordinated by the Graduate and Professional school such as New Graduate Student Orientations, professional development activities, fellowship workshops, awards ceremonies, Grad Advisor Workshops, Grad Advisor Development Sessions, and commencements

    + Manages and engages efforts to assess, improve, and streamline operations
