Summary of Job Duties and Responsibilities:
Performs administrative support, receives customer samples, database management, critical quality control documentation, customer service, accounting functions, ordering, and report preparation for nationally certified Level 1 National Animal Health Laboratory.
+ Ensure compliance with critical quality/accreditation standards; complete national accreditation, university, and laboratory required training;
+ Initiate diagnostic testing process by creating work process in Laboratory Information Management System.
+ Complete national accreditation, university, and laboratory required training.
+ Maintain proficiency, skills, and knowledge to ensure compliance with laboratory quality/capacity requirements necessary to maintain Level 1 laboratory status.
+ Maintain accurate and detailed customer/vendor account information.
+ Plan/Coordinate/Perform all internal/external administrative and financial efforts.
+ Participate in quality process to include internal audits and national accreditation processes.
+ Prepare informational reports.
+ Interact with vendors, maintain building security, and ensure visitor compliance with laboratory quality and safety requirements.
+ Perform administrative functions required to purchase/order/process for payment critical supplies and equipment.
+ Research equipment and supplies for laboratory use.
+ Coordinate with other laboratories for administrative and financial processes.
+ Prepare personnel administrative documents correspondence.
+ Create, maintain, and update laboratory work processes/schedules.
+ Prepare items for shipping and mailing, sort/distribute mail and testing requests.
+ Prepare/distribute billing documents and process payments.
+ Respond to customer inquiries or redirect calls and activate/deactivate answering service.
+ Clarify customer diagnostic testing requests, animal history and submission data.
+ Review invoices and prepare for payment.
+ Maintain customer/personnel confidentiality.
+ Complete required administrative and financial processes/reports/documents/vouchers/deposits etc.
+ Document process deficiencies and participate in developing resolution.
+ File laboratory records (e.g. correspondence, billing documents, payments, vendor invoices, etc.).
+ Receive diagnostic samples, complete test requirement forms, and route to laboratory sections
+ Supervision of student workers, temporary employees, and/or regular employees may be required depending on work unit.
+ Other duties as assigned.
Minimum Education Requirements:
+ Two years of college.
Minimum Experience and Skill Requirements:
+ Three years office experience in a business, government, or industrial setting. Additional college and related experience may be exchanged year-for-year to meet qualifications.
+ Alertness, initiative, attention to accuracy, memory for oral and written directions or details, analytical ability, ability to plan and make decisions often without instruction or supervision.
+ Excellent communication, interpersonal multi-tasking and organizational skills.
+ Pleasant, proactive personality with the ability to handle demanding situations, quickly adapt to address changing circumstances and personalities, and work as a team
+ Problem solving ability to troubleshoot deficiencies, identify corrective actions, evaluate new processes and materials/equipment, implement plans, and develop preventive actions

Located in the west Kentucky city of Hopkinsville, the Breathitt Veterinary Center is part of Murray State University and is a nationally recognized, AAVLD accredited, USDA NAHLN Level 1 animal disease diagnostic laboratory. The city of Hopkinsville, a 1-hour drive from Nashville, TN, is an agricultural center of the region and has been dubbed the Batter Capital of the World because of its large wheat production and milling companies. With a population of 31,000, Hopkinsville offers a small-town feel with city amenities, and is also home to Murray State University’s Hopkinsville Regional Campus.
Hourly Rate: $15.63 (Additional pay dependent upon qualifications)
Work Hours:
+ Normal working hours.
+ May be required to respond on weekends, holidays and after hours for building functions and meetings; flexible lunch and break to ensure office coverage
